Function documentationImport from an XML file

 

You can import a project or version in Project Management or a project associated with a portfolio item from an XML file. SAP supplies a predefined XML schema for this purpose.

You can navigate to this function from the item details screen on the Overview view, the project worklist, or the project version worklist.

You can also import project templates and checklist templates. You can find the corresponding functions under Start of the navigation path Portfolio and Project Administration Next navigation step Project Management Templates End of the navigation path.

Prerequisites

If you want to import templates, you have made a corresponding entry for area 0013 Additional Features, setting 0002 Export/Import of Templates in Customizing for SAP Portfolio and Project Management under Start of the navigation path Project Management Next navigation step Basic Settings Next navigation step Override Default Global Settings End of the navigation path.

Activities

  • You select XML File in the Application field, browse for the file you want to import, and choose Import Selected Data.

  • You define the target object. You have the following options:

    • Create Simulation Version: When you select this checkbox, each import creates a project simulation. Before the import, the system checks whether a project that has the same external ID as the ID in the import file already exists in Project Management:

      • If the project does not exist yet, the system creates a new project. You can now open the project, edit and save it.

      • If the project already exists, the system creates a simulation from the imported data with the name 0IMPORT and the project number, and displays this new simulation.

        Note Note

        You can only import data into a simulation if you have admin authorization for the project that already exists in Project Management.

    • Update Current Project: When you select this checkbox, each import updates the operational project. Before the import, the system checks whether a project that has the same external ID as the ID in the import file already exists in Project Management.

      Caution Caution

      When updating the project, the system deletes all project elements and creates new ones. This fails if the project elements cannot be deleted, for example if they have already been released.

  • If you do not select either checkbox under Target Option, the system creates a new project during the import.

  • You can choose data for import by selecting one of the following:

    • Structure Only

    • Structure and Resources

    • Structure, Resources, and Resource Assignments

  • You choose Check to display the messages that were caused by the import. Then you choose Import to finish the import.
