You use this function to call and compare multiple projects, tasks, or checklist items at the same time. You can branch to the project elements from the multi-project monitor and edit them.

You can also use the multi-project monitor to display the following inter-project link scenarios in graphical form with more display options than in the graphical view:

  • Subproject

    You can expand a task with a subproject to display the subproject and the structure it contains. This enables you to display all objects below a subproject in graphical form.

  • Mirrored task

    You can expand a mirrored task to display the original task and the structure it contains. This enables you to display all objects below the original task.

  • Program

    You can expand a program phase to display the assigned phases and the structures they contain.

Note Note

If an object is used in more than one project that you are displaying in the multi-project monitor, it is displayed multiple times. The relationships of a particular task are only displayed in the multi-project monitor if you are currently displaying the superior project of the task in the multi-project monitor.

Prerequisites

You have selected multiple projects, tasks, or checklist items in the dashboard (see Dashboard in Project Management) and chosen Open Multi-Project Monitor.

Features

General Functions
  • You can choose which view of the calendar you want the system to display in the multi-project monitor from the View dropdown box. If you selected the Overview view, the system automatically uses the calendar view that best suits the duration of the process. The view does not contain the dates from the object links.

    In the user settings, you can define a default view that the system will use every time you access the multi-project monitor (see Making User Settings).

  • When you select a project element in the structure, the system automatically positions the calendar in such a way that the start of the project element appears at the left edge.

  • The multi-project monitor can display information (such as name, planned date, and constraint date) for project headers, phases, tasks, and checklist items. You can decide whether you want to display both the labels and the relevant information in the user settings (see Making User Settings).

    By default, the additional information is not displayed, but you can switch on this feature in Customizing. To do so, enable the Display Additional Information on Multi-Project Monitor setting in the User Interface Settings in the Override Default Global Settings Customizing activity under Start of the navigation path SAP Portfolio and Project Management Next navigation step Project Management Next navigation step Basic Settings End of the navigation path.

  • The multi-project monitor can display a summary of your project or projects by aggregating data at project header level. You can see the phases, root tasks, and milestones for one or several projects on one screen when you collapse the project or projects.

    To activate this feature, enable the 0033 Summary of Project Data in Multi-Project Monitor setting in the Override Default Global Settings Customizing activity under Start of the navigation path SAP Portfolio and Project Management Next navigation step Project Management Next navigation step Basic Settings End of the navigation path.

  • The Navigate button allows you to specify the section of the project you want the system to display in the multi-project monitor.

  • You use the Print button to print the current project. The Print Preview button allows you to set print parameters and display the current appearance of the graphic for printing. In the standard system, the entire duration of the project and all displayed rows are printed. If you want to create a title for the printout, you can change the header of the multi-project monitor.

  • You can export the project data displayed in the multi-project monitor to a Microsoft Excel file. Choose one of the following export options:

    • Export only visible rows

    • Export all rows

    Project data that is hidden by the User Settings function is not exported.

    To activate this feature, you make a corresponding entry for area 0013 Additional Features, setting 0005 Export of Multi-Project Monitor Data in Customizing for SAP Portfolio and Project Management under Start of the navigation path Project Management Next navigation step Basic Settings Next navigation step Override Default Global Settings End of the navigation path.

Note Note

When you edit a project element in the multi-project monitor, the system opens a new window. You can close this window when you have finished making your changes. To make your changes visible in the multi-project monitor, choose Refresh.

Once you have chosen one of these options, the system generates the Microsoft Excel file. You can open the file directly or save it to your file directory. The display format, options, and limitations correspond to the Microsoft Excel standard functions (for example, outline of rows).

Display
  • Depending on your user settings and the settings on the Dates and Work tab page of the project definition, the position of the bars in the Gantt chart indicates either the earliest or the latest dates of the project elements. For more information, see Making User Settings as well as Dates and Work.

    You can display the date type used for a project next to the project definition bar in the Gantt chart. If required, make the corresponding setting on the Graphic tab page of your user settings under Show Additional Gantt Information (see Making User Settings).

  • Tasks that you have marked as milestones are indicated by Milestone (Milestone). If the milestone task has a duration greater than 0, the milestone icon is displayed at the start date of the task. For more information, see Dates and Work.

  • Tasks whose buffer is less than or equal to 0 are part of the critical path. These are displayed in red unless they have already been marked as milestones.

  • Checklists are only displayed in the structure tree and not in the graphic. Checklist items are indicated by Checklist Item (Checklist Item).

  • Relationships between original tasks and mirrored tasks can be displayed graphically by showing connection lines between all corresponding tasks within or between all the projects that are visible. In the User Settings area, specify whether or not the mirrored task relationships should be visible (see Making User Settings).
