Function documentationIntegration with SAP Mobile Documents

 

SAP Mobile Documents allows users to safely access and share documents from various sources or repositories on PC, laptop, smartphone, or tablet. By integrating project document management with SAP Mobile Documents, SAP Portfolio and Project Management provides a corporate document repository which can be accessed from devices connected to your SAP Mobile Documents server anywhere. This enables you to view and maintain project documents from outside the Project Management Web Dynpro application and download them to mobile devices for offline use.

Note Note

  • SAP Portfolio and Project Management only supports the SAP Mobile Documents Web client and SAP Mobile Documents for iOS. Do not use other clients, such as the SAP Mobile Documents desktop client, to maintain documents in the Project Management repository.

  • The Project Management repository for SAP Mobile Documents only contains documents from project document management, that is, documents that are assigned on the Documents tab page of project elements. It does not include documents from cross-application document management (application component CA-DMS) that are assigned to project elements by means of object links.

Prerequisites

To set up the integration between project document management and SAP Mobile Documents, you need to connect your SAP Portfolio and Project Management system to the SAP Mobile Documents system and configure the corporate document repository SMD_DPR_DOCUMENTS (Project Management) in SAP Mobile Documents. Depending on your SAP Mobile Documents edition, see the following documentation for more information:

Repository Structure

The Project Management repository for SAP Mobile Documents mirrors the structure of the Project Management application. It consists of the following elements:

  • Dashboard folders:

    At its entry level, the repository provides folders for all dashboard views available in Project Management, such as All Projects or My Projects.

  • Project folders and project element folders:

    The dashboard folders contain a project folder for each project contained in the dashboard view. Below the project folders, project element folders are arranged in the hierarchical structure defined in the structure tree of the project. The same icons are used for the project and project elements as in Project Management (see Structure Tree).

  • Document folders and documents

    Apart from the lower-level project elements, each project element folder contains the document folders and documents assigned to it. Documents are represented by their file name rather than the document name. If there are several content versions of a document, only the latest version is displayed in SAP Mobile Documents.

    The repository provides information on document and folder properties such as the file type, administrative data and the document or folder URL. In the case of documents, additional custom properties provide project data such as the document name, its status and the current setting in the Document cannot be changed by other user checkbox.

Note Note

SAP Mobile Documents only supports document paths with a maximum of 255 characters. If this limit is exceeded because your project or folder structure is too deep, you can only view content in SAP Mobile Documents. The creation of new folders or documents is not supported.

Document Maintenance

You can display and maintain project documents in SAP Mobile Documents using the functionality provided by your SAP Mobile Documents client. Changes that you make within the corporate Project Management repository are saved to project document management. Consequently, you can maintain project data in your SAP Portfolio and Project Management system by using the following client functions in SAP Mobile Documents:

  • SAP Mobile Documents Web client:

    • When you create a folder, you create a document folder in the project.

    • When you create or edit a TXT file, you assign a new document or a new content version with the file type TXT in the project.

    • When you upload a file, you assign a new document in the project. If the uploaded file has the same name as an existing document, a new content version of the document can be created.

    • When you check out a document, the Document cannot be changed by other user checkbox is flagged in the project.

    • When you check in a file, you create a new content version of the document in the project. The Document cannot be changed by other user checkbox is unflagged.

    • With the Delete function, you can delete folders and documents in the project.

  • SAP Mobile Documents client for iOS:

    • When you create a folder, you create a document folder in the project.
