 Business-Partner-Related Search

Use

You perform this search on the basis of business partners of type Organization if you want to know which external organizations are involved in which collaborations. This search allows users assigned to the internal organization, that is the organization that owns the cFolders system, to find all collaborations that contain objects for which the user searching and users belonging to a particular business partner have at least read authorization. The search adheres to the cFolders authorization concepts.

Prerequisites

  • You are assigned to the role SAP_CFX_BP_SEARCH.

  • You have activated business partner integration. For more information about integrating business partners in cFolders, see Business Partner Integration .

Activities

The business-partner-related search is a background search that you can save.

On the My BP-Related Search Requests screen, which you access by choosing Search from the navigation tree on the left, you choose Create to define a new search. It is mandatory to enter a name for your search and to specify the business partner by which you want to search. You can narrow down your search using the following criteria for the collaborations:

  • Created on

    This is the date on which the collaboration was created.

  • Collaboration Last Changed On

    In this dropdown box you can define the time frame in which you want to search for changed collaborations. You specify the value of N in the No of days/weeks/months/years field. If you choose Date range in the dropdown box, you can enter a time period.

  • Collaboration type

    Here you can define the types of business scenario you want to search for. All indicators are selected by default.

  • Private area exists

    If you have selected that you want to search for competitive scenarios, here you can specify whether you want to search for collaborations with one or more private work areas by choosing Yes , for collaborations with a public area only by choosing No , or for all collaborations that match your search criteria by choosing Not Specified .

  • Name of collaboration

    Here you can enter the name of the collaboration you want to search for. It is possible to use wildcards.

The system executes the search in the background. You can see the search progress on the My BP-Related Search Requests screen and access the search results by clicking on the search name. If you want to refine your search criteria, you can choose Repeat Search .

The search result displays a list of all collaborations that contain objects for which users assigned to the specified organization business partner have authorization. You can navigate to the objects for which the business partner has authorization by clicking on the collaboration name.

Example

You have created the business partner BPORG1 of type Organization to respresent an external company with which you are collaborating on various projects. The external cFolders users User 1 and User 2 work for this organization. You have created the business partners BPUser1 and BPUser2 of type Person for these users. In transaction cfxorg , you have assigned the person business partners BPUser1 and BPUser2 to the organization business partner BPORG1 .

You want an overview of the collaborations in which this external company has been involved in the last month. You create a business-partner-related search, using the business partner BPORG1 as the search criterion. To narrow the time frame, you select During last N months from the Collaboration Last Changed On dropdown box and enter 1 in the No of months field. The search returns a list of the collaborations that contain objects for which you and any user that is assigned to the business partner BPORG1 has at least read authorization and which have been changed within the last month. You navigate to those objects by selecting the collaboration name.
