The following views are available on the Substitute screen:

My Substitutes and As Project Lead.

In the My Substitutes view, the Substitute For field contains your name only. Here you can enter a substitute for each project to which you are assigned by means of a responsible or editing role or resource. The same prerequisites apply to the list of your projects as to the project list (see Project List). Your substitute is assigned the same authorizations as you. The substitute remains in the project until you delete his or her name from the list of substitutes.

When you create or delete a substitute, the system sends an e-mail to each substitute affected. The project member who you assigned as a substitute receives a copy of this e-mail.

In the As Project Lead view, the system determines all projects in which you are defined as the project lead in the project definition by means of the responsible role or resource. The Substitute For field displays all users that are assigned to at least one role in at least one of these projects. In this field, select the name of the project member for whom you want to define substitutes. You can enter a substitute for each project in which the following applies:

  • You are the project lead

  • The user requiring a substitute is assigned to the project

    1. by means of a responsible or

    2. by means of a resource

If the user requiring a substitute is staffed in a role in a project for which you are the project lead, but the role or resource has not yet been used in the project structure, the system displays the name of the user in the Substitute For field but does not display the affected project in the Substitute table.

The following applies to both views:

The substitute receives the same authorizations as the project member he or she is substituting. The substitute remains in the project until you or the relevant project member deletes the name of the substitute from the list of substitutes.

As the substitute, you see the projects for which you are acting as a substitute in the Projects, Tasks, or Checklist Items screens when you choose the Substitutes view from the dropdown box.

In the My Tasks As Substitute and My Checklist Items as Substitute views, you can display the direct project elements to which you are assigned as a substitute.

The following views are available on the Detailed Substitute Information dialog box the system displays when you choose the Show Substitute Details pushbutton on the Basic Data tab of the project definition.

Substitutes for Project Responsibles and Substitutes for All Project Resources

In the Substitutes for Project Responsibles view, the system determines all resources which are defined as the project leads in the project definition by means of the responsible role or resource. Here you can enter a substitute for each responsible. In the Substitutes for all Project Resources view, the system determines all resources of the project. The list displays all users that are assigned to at least one role in this project. The user requiring a substitute is assigned to the project

  1. by means of a responsible role or resource or

  2. by means of a role or resource

Here you can enter a substitute for each resource.

The following applies to both views: The substitute receives the same authorizations as the project member he or she is substituting. The substitute remains in the project until you or the relevant project member deletes the name of the substitute from the list of substitutes. You can only enter substitutes when you are defined as a project lead of this project.

Prerequisites

The system can only send an e-mail if an e-mail address has been entered in the user master data of the appropriate project members.

The system only displays a project in the project list on the Substitute tab if you have at least read authorization for the project definition, you are participating in the project, and your business partner is linked to your user. For more information, see SAP Note 999529.
