Function documentationDistribution for Financial Planning

 

You use this function to simplify the process of manually entering amounts for a financial view in a financial group.

To use the distribution, select an object in an object dashboard. On the object details screen, choose Start of the navigation path Financial and Capacity Planning Next navigation step Financial Planning End of the navigation path. Select a particular hierarchy of categories, groups, and views. Select a view or group and choose Start of the navigation path Functions Next navigation step Distribution End of the navigation path.

Prerequisites

  • You have defined the distribution type of the financial group in Customizing for SAP Portfolio and Project Management under Start of the navigation path Portfolio Management Next navigation step Global Customizing Next navigation step Portfolio-Independent Settings Next navigation step Define Financial and Capacity Categories End of the navigation path.

  • You have defined the financial views as Manual in Customizing for SAP Portfolio and Project Management under Start of the navigation path Portfolio Management Next navigation step Global Customizing Next navigation step Portfolio-Independent Settings Next navigation step Define Financial and Capacity Views End of the navigation path.

Activities

In the Distribution dialog box, fill out the following fields:

Field

Explanation

Valid From

You specify the start for the distribution. If you do not enter a value in this field, the system uses the current financial planning start.

You can specify the start as a date before the current financial planning start. In this case, the system adds and displays new columns for new periods.

Valid To

You specify the finish for the distribution. If you do not enter a value in this field, the system uses the current financial planning finish.

You can specify this date as a date after the current financial planning finish. In this case, the system adds and displays new columns for new periods.

Amount

You specify the amount that is to be distributed along the time line.

Currency

This is the currency at the item/initiative/bucket or what-if level. It is read-only and cannot be changed here.

Action Type

You select the action type from the drop down list. The action type indicates how the distributed amount affects the current amount.

The following action types are available:

  • Overwrite

  • Add required financial amount to current amount

  • Subtract required financial amount from current amount

Calculation Base

You select the calculation base from the drop down list. The calculation base decides how the required value is distributed along the timeline. You have the following calculation bases available:

  • Per Day

  • Complete Interval

  • From Periodic Breakdown

    This option is retrieved from the financial planning period breakdown type defined for the item/initiative/bucket or what-if level.

Distribution Type

The distribution type determines how actual calculations are done during distribution, that is, whether to divide amounts approximately or divide according to factory calendar and so on.

This is a read-only field. You have set the value of this field, for example the distribution type for a particular group, in Customizing for SAP Portfolio and Project Management under Start of the navigation path Portfolio Management Next navigation step Global Customizing Next navigation step Portfolio-Independent Settings Next navigation step Define Financial and Capacity Categories End of the navigation path. You can choose between the following distribution types:

  • Based on Factory Calendar Working Days

  • Based on Calendar Days

  • Based on Fixed Number of Days per Month

  • Based on Number of Months in a Period

  1. To distribute the amounts once you have entered values in all the fields mentioned above, choose OK.

  2. The distributed amounts are displayed on the main Financial Planning screen.

  3. You can change these amounts.

Example

Consider the example of an item with monthly financial breakdown type.

Let the number of days and working days in the months January to May be as shown below:

Following are the choices made in the distribution and the calculated amounts for January and February depending on the choices:

Required Amount: 1000

Valid from: January 22, 2006

Valid to: May 15, 2006

  1. Calculation Base: Per Day

    1. Distribution Type: Factory Calendar Working Days

      Amount for January: 8 * 1000

      Amount for February: 20*1000

    2. Distribution Type: Fixed Number of Days

      Amount for January: (10 / 31 * 22 ) * 1000

      Amount for February: 22 * 1000

    3. Distribution Type: Calendar Days

      Amount for January: 10 * 1000

      Amount for February: 28 * 1000

    4. Distribution Type: Based on Number of Months

      Amount for January: 10 * 1000

      Amount for February: 28 * 1000

  2. Calculation Base: Complete Interval

    1. Distribution Type: Factory Calendar Working Days

      Amount for January: 8 * 1000 / 88

      Amount for February: 20 * 1000 / 88

    2. Distribution Type: Fixed Number of Days

      Days in January = (10 / 31 * 22 )

      Amount for January: Days in January * 1000 / (Sum of days in January to May)

      Days in February = 22

      Amount for February: Days in February * 1000 / (Sum of days in January to May)

    3. Distribution Type: Calendar Days

      Amount for January: 10 * 1000 / 114

      Amount for February: 28 * 1000 / 114

    4. Distribution Type: Based on Number of Months

      Amount for January: 1000 / 5

      Amount for February: 1000 / 5

  3. Calculation Base: From Periodic Breakdown

    1. Distribution Type: Factory Calendar Working Days

      Amount for January: 8 / 22 * 1000

      Amount for February: 1000

    2. Distribution Type: Fixed Number of Days

      Amount for January: 10/22 * 1000

      Amount for February: 1000

    3. Distribution Type: Calendar Days

      Amount for January: 10 / 31 * 1000

    4. Distribution Type: Based on Number of Months
