Search ResultsThe results of the search are displayed when you select a query in a search field or the Similar Documents function.
The document is only displayed in the list of results if you have the following permissions:
· Read permission for the index in which the document is indexed
· Read permission for the document
For more
information see
Permissions for
Searching.
The administrator can configure the list of results. The sections below describe the elements of the list of results in the standard delivery. Depending on the configuration of your system, the list of results can contain other elements.
If the search term in the search field was probably written incorrectly, the system displays an alternative search term having a similar spelling. If you mistyped your entry in the search field, click on this term to start a new search.
The system displays the following elements for each document found if the relevant values are given:
· Symbol for object type
· Name
You can display the contents of a document by clicking on its name.
· Relevance
This gives the degree to which the contents of the document match your search query.
· Name of the person who last changed the document
· File size
· Date and time of last change
· Function link
¡ Open folder
By clicking on this link you go directly to the folder in the repository in which the document is stored.
¡ Similar documents
You start a new search with the Similar Documents function. You get a new results list containing documents whose contents match the start document.
¡ Details
With this link you open the Details dialog box of the relevant document.
· Content snippets
Snippets of the text are displayed below the document name. The search terms are marked in bold. You see the context in which the search terms occur in the relevant document, and can thus better evaluate how relevant the document is.
· HTML version
The system generates an HTML version for each document to be indexed and stores it in the index. Documents with other file formats that you created, for example, with Office applications are converted to HTML.
You can display the HTML version as well as the original version in the search results list. The HTML version has the following advantages:
¡ The search terms are highlighted in the HTML version.
¡ You can also display the HTML version if access to the original server does not function at the moment.
Images included in the original documents are not stored in the index. This has the following consequences:
¡ If the original document consists of HTML pages, included images are retrieved from the original server when they are displayed. The images are only displayed if access to the original server is working and the images were not removed from the original server in the meantime.
¡ If the original documents have a different file format, the images are not copied to the HTML version during conversion. No images are displayed in the HTML version. You can only display the images in the original version.
· Categories
You can display the categories into which the documents have been classified in the results list. To do this, choose a value in the Maximum Number of Categories field in the search options. Click on the names of categories to navigate directly to these categories.
By default, no categories are displayed. An administrator can define a default value for the field Maximum Number of Categories in the iView properties.
By default, this function is inactive. Your system administrator can activate it.
You can display a list of related terms from the search results. These are terms that are related to the search term in the indexed document set.
Proceed as follows:
· If you want to start a new search for one of the related terms, click on the term in question.
· If you want to refine your search query by using one or more related terms, select the terms you want to include, and choose Search again.
