Function documentation Determining the Disposal Status   Locate the document in its SAP Library structure

Use

You define the disposal status for records and cases using this function. The disposal status is saved as an attribute for the record or case. It controls how the cases are processed in the Disposal Process.

There are two disposal statuses:

·        To be Provided

Cases with this status have to be sent to the central archive to be stored once their retention period has expired.

·        To be Deleted

Cases with this status can be directly deleted from the system once their retention period has expired.

Activities

You define the disposal status in the field Disposal of the record plan item. When a new record is created, the system determines the disposal status from the record plan item in the reference number.  

·        If a disposal status is defined in the record plan item, it appears as a default value that you can copy. You can overwrite these default values.

·        If no disposal status is defined in the record item, no default values appear and you can enter a disposal status.

When a case is created in a record or sent to the records, the disposal status is copied from the record to the case.

Note

If you change the disposal status defined in the record, it is not automatically updated in the cases of the record.

Using the report Define Retention Periods, you can check the consistency of the disposal status and make any changes necessary.
