Using the find tools located at the top of the Portal Catalog, you can search the Portal Catalogue and locate a variety of portal objects. Two levels of find are available:

  • Basic, which enables you to search all the object types in the entire Portal Catalog.

  • Advanced, which enables you to refine the search to specific object types and Portal Content folders.

Prerequisites

  • To view objects in the result set, you must have at least administrator read permissions for each object.

  • To change the properties of an object, you must have at least administrator read/write permission for each object.

Procedure

Performing a Basic Find
  1. In the search area in the Portal Catalog, in the Find box, enter a keyword for which to search, and choose Go.

    You can use wildcards in your search query. The search query is case-sensitive.

    The portal search engine queries the following properties in objects and folders:

    • Attributes ID

    • Title

    • Description

    The search results are displayed in the content area.

  2. You can filter the search results and save them in a file, as described in Viewing Search Results below.

Performing an Advanced Find
  1. In the search area in the Portal Catalog, choose Advanced Find.

  2. In the content area, define the search criteria by entering one or more of the following properties:

    • Name

    • Description

    • ID

      If you enter more than one property, the search results contain properties that are identified by all of the specified criteria.

  3. To make your search entry case-sensitive, select the Case Sensitive check box.

  4. To include templates in your search, select the Include templates check box.

  5. Use the following filters to refine your search:

    • To limit the search to a specific top-level folder, from the Search In dropdown list, select the folder in which you want to search.

    • To limit the search to a lower-level folder, right-click the folder in the Portal Catalog, and choose Search in Folder.

    • To limit the search to a specific object type, in the Object Type dropdown list, select the required object type.

    • To limit the search to more than one object type, choose Multiple Object Types, and in the Select Object Types dialog box, hold down the CTRL key and select the required object types from the list.

    • Specify an approximate limitation on the amount of time the search is conducted by specifying a time-out in the Approximate Timeout (seconds) box. When the specified amount of time elapses, the search tool stops searching for results. The default timeout is 30 seconds.

    • To add one or more property-based filters to the search results:

      1. In the Property-based Filter area, choose Add Row, and then choose the browse button.

      2. In the Select Properties dialog box, select a property from the Object Properties dropdown list.

      3. (Optional) To filter the results displayed, you can select a template from the Template dropdown list where available.

      4. Select the required property. The property appears in the Property-based Filter table.

        Note Note

        If you have multiple property IDs in your list, the search engine will filter, as follows: For identical property IDs with different values, the search engine will search for properties containing all of the different filters. For property IDs of different types, the search engine will search for properties containing one of the filters.

      5. Enter a value.

  6. Choose Next to view the search results.

Viewing Search Results

The basic find and the advanced find provide the following options for search results.

  • To filter the search results by object type, select the required object in the results set and in the Show Object Type dropdown list, select an object type. This is useful if your list of results is long, and you want to view objects of a certain type.

  • To save the results of your search in a file, choose Export to File. Then, choose the .xls link to open the file in a separate window.

    Note Note

    You must open the file to save it. If you close the dialog box without opening the file, choose Export to File again. If you have applied filters to the search results, only the results of the filtered search are displayed in the file.

  • To locate an object in the Portal Catalog, select the object in the search results table, and choose Locate in Tree.

  • To open the object in its respective primary editor, select the object in the search results table, and choose Open Object.
