Use

You define the following in the subscription:

·        Message delivered in e-mail or SMS format

·        Message granularity and structure

·        Reminder function for unprocessed work items

·        Schedule for the delivery of the message

·        Message recipient

Features

Tab Page Basic Data

When you create a new subscription, enter its name and a description here. Also select the category to which the subscription refers (see also: Defining the Category). You can define more than one subscription for each category.

If you currently do not require a subscription that you have created, you can deactivate it. You can reactivate it again at any point.

Tab Page Message

Delivery Type

Delivery Type enables you to define whether the notifications are created as HMTL messages, text-only messages, or SMS messages.

See also: Sending a Notification as an E-Mail or SMS

Granularity

Using granularity you can define whether multiple notifications are grouped together in one message.

See also: Granularity and Message Structure

Displaying and Executing Work Items

An e-mail notification can contain links or attachments for executing or displaying work items or the Workflow inbox. It is the granularity that determines which specifications you can make.

See also: Displaying or Executing Work Items from a Message

Note

If, in transaction SWFVISU, settings have already been made for visualization for the relevant single step tasks, it is these settings that apply. {0>Die entsprechenden Einstellungen im Abonnement werden dann ignoriert.<}0{>The relevant settings in the subscription will be ignored.<0} For more information about transaction SWFVISU, see Parameters for Work Item Visualization in the UWL.

If, in transaction SWFVISU, it is defined that work items are displayed or executed by using a WebDynpro application, you must set the parameter WD_HOST in the general settings. For more information about the general settings, see General Settings.

You can change the link captions and the general texts that are generated for the messages to fit your requirements.

See also: Defining the General Settings

Reminder

The notifications for work items that have not yet been processed can be resent after a specified number of days. The default is 0 (notifications will not be resent).

See also: Reminding Users About Unprocessed Work Items

Tab Page Schedule

In the subscription you also define the delivery schedule. You can define your own schedules and corresponding subscriptions for different days of the week and times. Furthermore, you can define the time intervals within a certain time period during which the work items are to be delivered.

Since the actual delivery is executed by a report, you must schedule the relevant report and send job.

See also: Report for Selection and Delivery.

Tab Page Recipient

You can define the subscription either for all recipients or for one individual recipient. To define the subscription for one recipient, specify the relevant SAP name. At present, the recipient address type is always Internal SAP User.

See also: Sending Notifications to All or Individual Users

To determine the address of the specified recipient, the following sources are checked in the specified order by default:

·        Central user management

·        Address that is specified in SAPoffice as the address for automatic forwarding

·        HR user management (including organizational management)

You can define a different order in the view cluster (see also: General Settings)
