You can delegate a task to a colleague, or revoke a task that is assigned to you if you do not feel capable of performing it. The Task Execution User Interface (Task Execution UI) of the process desk provides both of the delegate and revoke functions.

The Delegate, Revoke and Close pushbuttons may not be visible depending on how the process administrator configures their visibility in NWA.

Procedure

Delegating a Task
  1. In the Universal Worklist (UWL), click the task (Subject) you want to delegate.

    The Task Execution UI is displayed.

  2. In the toolbar, choose Delegate.

    The Delegate dialog box is displayed.

  3. In the Delegate dialog box, enter the name of the user you want to delegate the individual task to.

    You can also enter some of the letters of the user name, for example, the first name of the user, then choose Select. The Select dialog box is displayed. In the results list, you can select the user that is required or start another search by changing the entry in the Find field. After you have selected the user you want to nominate as delegate, choose Go. The selected user is automatically entered in the Delegate dialog box in the To field.

  4. In the Delegate dialog box, choose OK.

    The task is delegated to the user specified.

Note Note

Once you have delegated a task, you are no longer able to complete this task yourself. You do not have the task in the New and in Progress Tasks list any longer. The task is now in the Tasks Forwarded to Someone list. New and in Progress Tasks and Tasks Forwarded to Someone are filters in the Universal Worklist. For more information, see Features of the UWL.

The delegate is now the owner of the task and has the task in the New and in Progress Tasks list of the UWL.

Only this individual task is delegated to the user nominated as delegate. If you want to delegate all your tasks to a colleague, you need to nominate the colleague as substitute. You specify the substitution settings in the UWL. For more information about substitution refer to Using or Accepting Substitution.

Revoking a Task

If you open a task in the UWL you automatically become the processor, the actual owner of the task. Status of the task is now in progress. The task is only in your inbox and removed from the inbox (New and in Progress Tasks list in the UWL) of all other users (potential owners). If you picked up a task by mistake, or you cannot complete a task for some reason, you can put the task back into the pool. After you have revoked the task, you are no longer responsible for the task. All potential owners of the task can see the task in their inbox (UWL) again

To put back a task, in the toolbar of the Task Execution UI, choose Revoke. The task is revoked and the Task Execution UI is closed.
