Use

If you have configured a role type to Initiation Defined, you can also define a group of users that can be assigned to this role. During the process instantiation, you can choose a user for this role only from the group that you have defined; the other users are not shown.

Note

You can only define a restriction group to process roles of type Initiation Defined. For more information about the different role types, see Configuring Process Roles.

Procedure

...

       1.      In the gallery, select the relevant process template, and open its design time.

       2.      To switch to edit mode, choose This graphic is explained in the accompanying text (Edit).

       3.      Open the Default Roles tab page.

       4.      Choose Add Restriction.

The user picker is displayed in the right-hand part of the screen.

       5.      Use the Find function to search for the required users, groups or roles.

       6.      To add a user, group or role to the restriction group, select it and choose Add.

Note

If you choose to add a group or a role, all users from the group or who are assigned to this role are added to the restriction group.

       7.      To add more users, groups or roles, repeat steps 5 and 6.

       8.      Choose This graphic is explained in the accompanying text (Save).

Example

In your process, you have defined the role HR Consultant. You only want people from the Human Resources team to be assigned to this role. Therefore, you define a restriction and add the user group for the HR consultants in the company to it. Whoever initiates the process afterwards is only able to choose a person from the HR team only.
