Prerequisites

You must have at least one of the following roles assigned to you, based on the activities you want to perform as listed in the table below.

Context

You use this procedure to perform the following:

  • View the details of task instances. You can view the corresponding process for each task instance

  • View all task instances, task instances with an error state or with lapsed deadlines

  • Search for task instances using the advanced search options

  • Analyze the task instance details and take an appropriate action, for example, suspend, resume, or cancel a task instance

  • Nominate a processor for task instances

  • Resend an offline task, if required

Procedure

  1. Log on to the SAP NetWeaver Administrator application.
  2. Choose Start of the navigation path Operation Management Next navigation step Processes and Tasks Next navigation step Manage Tasks End of the navigation path.

    By default, the system displays the task instances in error status for last 24 hours.

  3. You can view the task instances (active and archived instances) using one of the following options as required:
    1. To display task instances based on the predefined queries, in the Show field, select the required option.

      Note

      When you query for erroneous tasks, the predefined query returns tasks that are created during the last 24 hours and are in erroneous state.

    2. To display the task instances based on the basic query, in the Find Task Instance field enter the task instance ID and choose Go .

    3. To display the task instances based on the advanced queries, proceed as follows:

      1. Click Advanced and perform the following as required:

        1. To display the task instances based on task definition, in the Find by field, select Task Definition and enter the search details.

        2. To display the task instances based on task identity, in the Find by field, select Identity and enter the search details.

        3. To display the task instances based on lapsed deadlines, in the Find by field, select Lapsed Deadlines and enter the search details.

      2. Choose Go .

  4. To view the details of a task instance, select the required entry from the list of task instances.

    The system displays the details of the selected task instance in different tab pages as described in the table below:

    Details

    Details of the selected task instance such as task instance ID, priority, processor, and so on. It also provides information whether a task instance is archived or not.

    Deadline

    Details of the deadlines defined and the status.

    Owners

    Users responsible for processing the task.

    Note

    You can nominate a user as a task processor for task instances. If another user already exists as a task processor, this existing user remains as a responsible user, while the newly nominated user becomes the processor. To nominate a user (who is not added as an excluded owner at model time only), proceed as follows:

    1. Select the required task instances and choose Nominate .

    2. In the Owner field, enter the user you want to nominate.

    3. Choose Save .

    History

    Details of the actions performed on the task instance during its lifecycle.

    Context Data

    Input and output context data related to the task instance.

  5. To perform an action on a task, select the required task and perform the following as required:
    • To cancel a task, choose Start of the navigation path Actions Next navigation step Cancel End of the navigation path.

      Note

      If you want to cancel a suspended task, you must first resume the task and then cancel it.

    • To suspend a task, choose Start of the navigation path Actions Next navigation step Suspend End of the navigation path.

    • To resume a suspended task, choose Start of the navigation path Actions Next navigation step Resume End of the navigation path.

    • To view the process instance to which the task belongs, choose Show Process .

    • To resend an offline task to involved user, choose Resend Form .
