Editing Follow Up Actions: Alert Monitor EntryLocate this document in the navigation structure

Use

Choose Alert Recipients from the Parameter tab page, to inform one or more interested parties that an exception whose threshold values have been exceeded or fallen short of has been logged in the exception log.

You can also change the alert texts for the query views under investigation as well as the level of each exception cell. You can also parameterize them with text variables.

If you want to create a link from the alert monitor to a resource, you can assign the resource URL to the respective alert monitor entry.

Prerequisites

You have selected an exception and assigned it the follow-up action Alert Monitor Entry.

Procedure

When you double-click on the assigned follow-up action in the Selected Objects tree structure, the Properties of the Follow Up Action screen area appears.

Select alert type

You are able to generate BW Alerts or SAP Alerts.

Generate BW Alerts

Depending on the recipient type, you can select the recipient of the BW alert:

The alert monitor entry is displayed for all SAP users.

Role user

  1. Choose Roles. The Select Roles dialog box appears.
  2. Select the required roles and transfer them into the left-hand area of the screen.
  3. Choose Continue.

The alert monitor entry is displayed for every role user.

Individual SAP users

  1. Choose Recipient List. The Select Recipient dialog box appears.
  2. Select the required SAP users and transfer them into the left-hand area of the screen.
  3. Choose Continue.

The alert monitor entry is displayed for the selected users.

Generate SAP Alerts

SAP Alerts are alerts that are generated with SAP Alert Management. To generate SAP Alerts from within the Reporting Agent you have to make the following settings in SAP Alert Management:

  1. Define alert categories in transaction ALRTCATDEF. SeeAlert Category andDefining Alert Categories.

You can also access transaction ALRTCATDEF in Customizing (transaction code SPRO) under SAP Customizing Implementation Guide → SAP NetWeaver → SAP Business Information Warehouse → Reporting-Relevant Settings → General Reporting Settings in Business Explorer → Reporting Agent: Settings for SAP Alerts.

  1. Select the recipient of the SAP Alert. SeeRecipient Determination.
  2. Maintain the Alert Container as needed. The Alert Container ensures the exchange between the BW variables and the variables in the central alert server. SeeAlert Container.

If you have made these settings in SAP Alert Management, you can generate SAP Alerts from the Reporting Agent. Make the following settings:

Alert category

  1. Using input help, choose your desired alert category for the Alert Cat field.
  2. Choose Install.

By selecting the alert category you have decided upon specific settings such as priority, for example.

Container parameter

  1. Choose Container Parameter. The Change Parameter for Alert Container dialog box appears.
  2. Using the input help for the Text Variable field, choose your required variables.
  3. Choose Install.

By determining the variables for the Alert Container, you ensure the exchange between the BW variables and the variables in the central alert server.

If you choose the container parameter BW_ALERT_TEXT, the alert text generated by BW Exception Reporting is transferred automatically.

Make sure that the types of container parameters are suitable for the types of assigned BW variables.

You can edit alert texts for a specific alert monitor entry on an exception cell level and on a query view level.

Editing texts for an alert monitor entry on the level of individual alerts (exception cells)

  1. In the Selected Objects tree structure, select the alert monitor entry for which you want to edit a text.

    If an alert text already exists, this is displayed in the Properties of Follow Up Action screen area, under the Text group header.

  2. Choose Edit to change an alert text or, if necessary, to create a text. The Change Text for Alert Monitor dialog box appears.
  3. Enter the text you want.

    You can find and replace words using the Find/Replace function.

    You can insert the contents of a file using the Load Local File function.

    You can use the Save as Local File function to save your alert text locally.

  4. Choose Select Variable if you want to insert a text variable into your text. The Variable Selection dialog box appears. The system displays variables that can be selected, together with their technical name and description.

    This includes general query variables as well as the context-sensitive variables of a specially selected query view. The variables serve as placeholders for dynamically generated text and are not filled until query runtime.

    You can use Find and Find Next to search within the selection list.

    If you want to restrict the selection list, open the Restrictions area. Enter the technical name or description of the text variable you are looking for, or use Multiple Selection to select more than one text variable. Then choose Start Search.

  5. In the selection list, select the required text variable, and choose Transfer. The system inserts the text variable into your text at the point at which your cursor is positioned.
  6. After you have edited the alert text, choose Continue.
    Note

    This text is displayed as the default text for the alert entry on the individual alert level.

  7. If a BW exception appears for different query views in different contexts, you can edit alert texts in relation to the respective drilldown.

    Caution

    Note: The Reporting Agent checks a series of query views during the background run: These views are taken from the sequence of selected characteristics. The system does this by filtering by characteristic values 1 to n-1 in sequence and drilling down the last characteristic.

    In the Follow Up Action Properties screen area, under the Text group header, choose the Enhanced expert mode. The Change Text for Alert Monitor dialog box appears.

  8. In the Query View Selection screen area, double-click on the required characteristic to choose the special query view. The selected characteristic is shown as "specified' in the lower Alert Text screen area.
    Caution

    Note: Even though it is not mentioned here, another characteristic can be specified here as well as the one denoted as "specified".

  9. Edit the alert text. The same text editing functions are available as in the simple editor describe above.
  10. Choose Continue.

Editing texts for an alert monitor entry on the level of a query view

  1. In the Selected Objects tree structure, choose Drilldown Characteristics. The Name of Query View screen area is displayed on the right-hand side, together with No Characteristic Specified.
  2. In the Name of Query View screen area, under the Text group header, choose Edit. The Change Text for Alert Monitor dialog box appears.
  3. Edit the alert text.
  4. Choose Continue.
  5. To edit a text for a query view with a specified characteristic, select this specified characteristic in the Selected Objects tree structure, under Drilldown Characteristics. (A characteristic is specified when it is in the filter). The Name of Query View screen area and specified characteristic are displayed on the right.
  6. In the Name of Query View screen area, under the Text group header, choose Edit. The Change Text for Alert Monitor dialog box appears.
  7. Edit the alert text.
  8. Choose Continue.

Changing a URL for the alert monitor

You can also give alert monitor entries any URL. This function allows you to jump from the alert monitor into the current query view as well as to any other resource you have chosen.

As a prerequisite for this function, you have to make an entry in the Action column (ACTION) of the Alert Monitor Web item for the List of Columns with Labels (COLUMN_LIST)attribute.

If the current alert monitor entry was already given a URL, this is displayed in the Follow Up Action Properties or Name of Query View screen area, in the field under the URL group header.

  1. In the Name of Query View or Follow Up Action Properties screen area, under the URL group header, choose Edit. The Change URL for Alert Monitor dialog box appears.
  2. Enter the URL in the upper screen area. You can use to parameterize the URL with text variables.
    Tip

    If you specify a BW query as a resource, you can use the text variables to give the URL filter values.

  3. In the Short Text screen area, you can enter a text to appear as a quick info in the alert monitor.

  4. Choose Continue.
