Availability of XML FormsLocate this document in the navigation structure

Use

You have the option of defining which XML forms for creating new XML documents are available for each individual folder.

Integration

The command group with the alias CreateXMLFormsGroup shows a command for creating a new XML document for each project. For example, if you choose Start of the navigation path Folder Next navigation step New Next navigation step Forms End of the navigation path in the admin explorer, the sub-menu for each project contains an entry that enables you to call the relevant edit form.

Features

Usually, you only want to use particular XML forms in one folder. You make the required settings for this in the Configuration iView.

You can globally define for all repositories whether the default is that all forms are available in the command group or no forms are available.

Note

The standard delivery does not contain any global settings. The default setting makes all forms available so you need to create and configure the global setting for it to apply.

Parameters of the Global Setting

Parameters Required Description

ID

Yes

Name of the global setting (only needs to be defined once, for example Default)

Enforce Availability of All Forms

No

If this parameter is set, all existing settings for the folder are disregarded and all available forms are displayed.

This setting is for test purposes.

Once you have configured the global setting, you define the specific settings for individual folders. You can specify which forms are to be available or not for individual folders, or for a complete subtree of a folder hierarchy.

Parameters of the Settings for Folders

Parameters Required Description

ID

Yes

Setting name

Folder Path

Yes

Specifies the folder or folder hierarchy for which this setting applies.

You can use placeholders such as *, ** and ?.

Example:

/archive/news/sports

The setting applies to the folder specified.

/archive/news/sports/**

This setting applies to all folders beneath the specified path, including the …/sports folder above it.

We recommend that you only use each path specification once.

Forms to Exclude

No

Comma-separated list of forms that are not available in the specified folders.

You can use placeholders such as * and ? (for example company_form_*).

Use this parameter if you have activated the availability of all forms in the global setting.

Forms to Include

No

Comma-separated list of forms that are available in the specified folders.

You can use placeholders such as * and ?.

Priority

No

Specifies the priority of the various settings for the folders.

If multiple settings have been made for one folder, then the setting with the highest priority is used. Therefore, use a lower priority for general settings and a higher priority for more specific settings.

Activities

To make the global setting for the availability of XML forms, choose Start of the navigation path Content Management Next navigation step Form-Based Publishing Next navigation step Forms Availability Next navigation step Global Setting End of the navigation path.

To make specific settings for folders, choose Start of the navigation path Content Management Next navigation step Form-Based Publishing Next navigation step Forms Availability Next navigation step Folder Settings End of the navigation path.

If you are creating a new project by using the XML Forms Builder, update the settings for folders to determine in which folders the new form is to be available.
