Deleting the Temporary Folders with E-mail AttachmentsLocate this document in the navigation structure

Context

Use the E-Mail Attachment Cleanup report to find and delete the temporary folders with e-mail attachments that have been uploaded or added before a given period of time. You can include attachments in your e-mail when you choose the Sent To… dialog box for a resource and then choose Add… where you have various options for adding attachments. Alternatively, you can choose Browse… to navigate to a document that you want to upload. When you have found the relevant document, choose Upload to attach the file to your e-mail.

Procedure

  1. In the portal, choose Start of the navigation path Content Administration Next navigation step KM Content Next navigation step Toolbox Next navigation step Reports Next navigation step Consistency Checks End of the navigation path.
  2. In the E-Mail Attachment Cleanup report, choose the type of execution:
    • Immediate execution: Start

    • Repeated execution: Schedule

  3. Enter the name of the execution.
  4. Only for repeated execution: Define and activate the schedule.
  5. You can configure the following settings for this report, on the Parameter tab:

    Description

    Attachment Repository (must start with /)

    The default repository where the report should operate. The system stores the data for e-mail attachments in the /attachments repository. Each time you send an e-mail with attachments, a folder with the e-mail attachments will be created in this repository.

    Attachment Age (Hours)

    The report searches for attachments that have been added before the specified number of hours.

    Note

    If you want to delete all e-mail attachments in the default attachment repository, you should specify 0 as the number of hours in this field.

  6. For immediate execution, choose Start or save your settings for report execution according to the schedule.

Results

The system runs the report according to the settings. Once the report has finished, you can call the result by choosing the name of the report from the list of the reports. You can find this list when you choose Start of the navigation path Content Administration Next navigation step KM Content Next navigation step Toolbox Next navigation step Reports Next navigation step Consistency Checks Next navigation step E-Mail Attachment Cleanup End of the navigation path. If you want to see the reports exported in the XML files choose Start of the navigation path Content Administration Next navigation step KM Content Next navigation step root Next navigation step Reporting Next navigation step Reports Next navigation step Content Administration Next navigation step Consistency Checks Next navigation step E-Mail Attachment Cleanup End of the navigation path or open the View Report Result screen by choosing the report and then from the ID parameter choosing the XML file.
