Configuring Information BroadcastingLocate this document in the navigation structure

Use

To use information broadcasting, you first need to configure the system in various SAP NetWeaver areas.

Prerequisites

You have installed the required components for information broadcasting. You can find more information in SAP Service Marketplace at service.sap.com/instguidesnw.

Procedure
  • If you want to distribute BEx objects to the portal, follow the configuration steps for integrating BEx objects to the portal.

More information: Automatically Configuring BI Java

  • If users in the portal want to use BEx objects to hold discussions, add personal notes, or provide feedback, activate and configure the corresponding collaboration services.

    More information: Collaboration Services

  • If you want to allow users in the portal to subscribe to KM folders or individual documents, activate and configure the subscription service.

    More information: Subscription Service

  • If you want to be able to distribute BEx objects by e-mail, set up the mail server on the application server. Choose node SMTP (Simple Mail Transfer Protocol) under SAPConnect: Administration (transaction SCOT).

For more information, see the SAP Reference IMG → SAP Customizing Implementation → SAP NetWeaverSAP NetWeaver Business Warehouse → Settings for Reporting and Analysis → Settings for Information Broadcasting → Set Up Mail Server and SAPconnect (BC-SRV-COM).

  • To broadcast by e-mail, you need to make general settings in Customizing. For example, you define the retention period in days that specifies how long send requests are saved in the system after the e-mails are sent using broadcasting. You can also specify whether you want to insert a footer into e-mails that you send.

For more information, see the SAP Reference IMG → SAP Customizing Implementation Guide → SAP NetWeaverSAP NetWeaver Business Warehouse → Settings for Reporting and Analysis → Settings for Information Broadcasting → Settings for Distributing E-Mails.

  • When broadcasting documents in MHTML format by e-mail, you can make a setting in Customizing to specify that documents in MHTML format are sent as attachments when broadcast by e-mail.

E-mails in MHTML format are not always the best option for broadcasting content from BEx objects in broadcasting. This is the case for example if one of the following apply:

    • The recipients' e-mail clients do not fully support displaying MHTML
    • For security reasons, MHTML is not directly displayed as e-mail content.

You can use the Customizing setting to specify that when MHTML is broadcast by e-mail, the MHTML document is broadcast as an e-mail attachment. The MHTML is then displayed in the Web browser and not in the e-mail client.

For more information, see the SAP Reference IMG → SAP Customizing Implementation Guide → SAP NetWeaverSAP NetWeaver Business Warehouse → Settings for Reporting and Analysis → Settings for Information Broadcasting → Settings for Distributing E-Mails.

  • If you want to send e-mails using encryption and a signature via an SMTP server, you need to do the following:
    1. Set up a secure e-mail proxy.
    2. Set the SET and GET parameters BCSSIGN and BCSENCRYPT by choosing System → User Profile → Own Data → Parameters.

More information: Broadcasting BEx Objects by E-Mail

For more information about making mass changes of parameters for multiple users, see Mass Changes.

  • You can modify the display of precalculated queries by defining the standard Web template for query precalculation in Customizing.

You can also specify the standard Web template for broadcasting. This determines how BEx Broadcaster is displayed when it is called from various parts of Business Explorer.

    More information: Broadcasting BEx Objects

You specify the corresponding standard Web templates in the BW system under SAP Reference IMG → SAP Customizing Implementation Guides → SAP NetWeaverSAP NetWeaver Business Warehouse → Settings for Reporting and Analysis → BEx Web → Set Standard Web Templates.

  • If you want to precalculate workbooks (in addition to queries and Web templates), go to Customizing and define which precalculation servers are available for the BW system. You make this setting in the BW system under SAP Reference IMG → SAP Customizing Implementation Guide → SAP NetWeaverSAP NetWeaver Business Warehouse → Settings for Reporting and Analysis → Settings for Information Broadcasting → Administrate Precalculation Server.

    More information:

    Creating Precalculation Servers

    Administrating the Precalculation Servers

  • To create PDF files, you first need to configure Adobe document services.

More information: Adobe Document Services Configuration Guide

  • To generate and broadcast alerts, you have to set up the Alert Framework and work through the following tasks:
    1. You define alert categories in transaction ALRTCATDEF.

      More information:

      Alert Category

      Defining Alert Categories

    2. You select the recipients of the SAP alert.

      More information: Recipient Determination

    3. You also maintain the alert container as required. The Alert Container ensures the exchange between the BW variables and the variables in the central alert server.

      More information: Alert Container

  • With exception-specific broadcasting, you can specify a CSS style sheet in Customizing. This is used when output is generated in HTML format. The specification is a path in the MIME Repository, such as /SAP/BW/BEx/StyleSheets/BWReports_ie5.css.

If you do not specify a style sheet, the system uses the standard style sheet /SAP/BW/BEx/StyleSheets/BWReports_ie6.css.

You make this setting in the BW system under SAP Reference IMG → SAP Customizing Implementation Guide → SAP NetWeaverSAP NetWeaver Business Warehouse → Settings for Reporting and Analysis → Settings for Information Broadcasting → Settings for Distributing E-Mails.

  • You grant administrator authorizations for broadcasting. To do this, use authorization object S_RS_ADMWB with the field RSADMWBOBJ = BR_SETTING.

    More information: Overview: Authorization Objects

Result

You have set up the systems and can now use information broadcasting. To allow end users in your organization to use the scenarios they require, set up the authorizations in system administration and perform the administrative tasks.
