Searching the Portal CatalogLocate this document in the navigation structure

Use

Using the Find tools located at the top of the Portal Catalog, you can search the tree structure and locate a variety of portal objects. Two levels of Find are available:

  • Basic Find , which enables you to search all the object types in the entire Portal Catalog.

  • Advanced Find , which enables you to refine the search to specific object types and Portal Content folders.

Note

The Find&Replace option is a complementary tool used to change properties of multiple objects at once. For more information, see Changing Property Values of Multiple Objects .

Prerequisites
  • To view objects in the result set, you must have at least administrator read permissions for each object.

  • To change the properties of an object, you must have at least administrator read/write permission for each object.

For more information: Permission Levels .

Procedure

Performing a Basic Find

  1. In the Find field at the top of the Portal Catalog, enter a keyword or string for which to search, and choose Go .

    Note

You can use wildcards in your search query. The search query is case-sensitive.

The portal search engine queries the following properties in objects and folders:

    • Object ID

    • Title

    • Description

The search results are displayed in the content area.

  2. You can filter the search results and save them in a file, as described in the Viewing Search Results section later in this topic.

Performing an Advanced Find

  1. Choose the Advanced Find link at the top of the Portal Catalog. The Search wizard appears.

  2. In the Define Criteria step, enter one or more Search For properties to define the criteria of your search. If you enter more than one property, the search results are limited only to those objects whose properties meet all of the specified criteria.

  3. To further define your search, you can use the Include templates and Case Sensitive checkboxes as needed.

  4. You can use the filters in the Search Options list as follows:

    Purpose

    Filter Action

Limit the search to a specific top-level folder

From the Search In dropdown list, select the folder in which you want to search.

Limit the search to a lower-level folder

In the Portal Catalog, in the context menu of the target folder, choose Search in Folder .

Limit the search to a specific object type

From the Object Type dropdown list, select the required object type.

Limit the search to more than one object type

    1. Choose Multiple Object Types .

    2. In the Select Object Types dialog box, select the required object types from the Available Object Types list at the left (holding down the CTRL key to select multiple items at the same time).

    3. Add the items to the Selected Object Types list at the right.

    Define the search interval

In the Approximate Timeout (seconds) field, enter a timeout value. When the specified amount of time elapses, the search tool stops searching for results. The default timeout is 30 seconds.

  5. Use the Property-based Filters area to add one or more property-based filters to the search results:

    1. Choose Add Row , and then click the Browse button in the second column of the table. The Select Properties dialog box appears.

    2. From the Object Properties dropdown list, select the object type whose properties you want to display.

    3. Select the row of the property that will serve as the filter and choose OK. The property is displayed in the Property ID column of the table.

      Note

If you have multiple property IDs in your list, the search engine filters as follows:

      • For identical property IDs with different values, the search engine searches for properties containing all of the different filters.

      • For property IDs of different types, the search engine searches for properties containing one of the filters.

    4. In the Value column, enter a value for the property.

  6. Choose Next to view the search results.

Viewing Search Results

The basic find and the advanced find provide the following options for search results.

  • To filter the search results by object type, use the Show Object Type dropdown list. This is useful if your list of results is long, and you want to view objects of a certain type.

  • To save the results of your search in a file, choose Export to File . Then, choose the ScreenResult.xls link to open the file in a separate window.

    Note

You must open the file to save it. If you close the dialog box without opening the file, choose Export to File again. If you have applied filters to the search results, only the results of the filtered search are displayed in the file.

  • To locate an object in the Portal Catalog, select the object in the search results table, and choose Locate in Tree .

  • To open the object in its primary editor, select the object in the search results table, and choose Open Object .
