1. Defining Alert Categories
- Call the central alert server in the BW system (transaction code ALRTCATDEF).
- To switch to change mode, choose Display/Change.
- Choose
CreateAlertCategory.
- Enter a description on the Properties tab page and assign the required priority and classification to the alert category.
- Perform any additional settings required for the alert category and choose Save.

2. Creating Alert Containers
The Alert Container ensures the exchange between the BW variables and the variables in the central alert server. You require the alert container in particular for text variables that are used in alerts.
- On the Containers tab page, choose
Create.
- Enter a suitable name for the element, a meaningful description and a short description.
- Select ABAP Dictionary Reference as the data type.
- Enter WFSYST as the structure and RESULT as the field.
- Choose Apply.

3. Defining Alert Texts
- If you want to write alert texts for SMS, e-mails or faxes, choose the Short Text and Long Text tab page.
- Enter a message title and either a short text or a long text.
Note
You can use variables in the text, such as the variable from the alert container or for the date.
4. Defining Subsequent Activities (Optional)
You can define a subsequent activity. You can insert a link to your sales department as a subsequent activity for example. The link is added as soon as the exception outputs an alert.
- On the OptionalSubseq. Activities tab page, choose
Create Subsq. Activity.
- Enter a description and the required URL.
5. Specifying Recipients
- Specify the alert recipients either by using a fixed user assignment, user roles or subscription (based on user roles).
- To use a fixed user assignment, choose Fixed Recipients and enter the recipient's user name under New Entries.
- To specify recipients by using user roles, choose Recipients Via User Roles and enter the relevant roles under New Entries.
- To allow recipients to decide whether they need the alert, choose Authorization for Subscription and enter the relevant roles under New Entries.
- Save your entries.

6. Setting Technical Parameters
- Choose Settings → Configuration.
- If you want to confirm the alerts by SMS or Internet Mail, specify a user for inbound processing.
- Specify whether the system returns a status (for errors, for example).
- Save your entries and choose Back.
- Specify the required alert server using Settings → RFC Destination of Alert Server.
Use search help to choose the RFC destination for the system (and client) where your central Alert Management is running. The alerts are forwarded by RFC from this system to the central alert server, and sent out from there. The alert categories must be maintained on the central alert server.
- Save your entries and choose Back.
- To guarantee that the recipients receive an alert message, make sure that the e-mail addresses for the relevant users are entered in user maintenance (transaction code SU01) and that communication type E-Mail is specified.
