 Displaying the Room Inventory ListLocate this document in the navigation structure

Use

You can use a report to generate an inventory list of the rooms in the portal once only or at regular intervals. The inventory list provides the following information for each room:

  • Standard properties and custom properties
  • Information about members and usage frequency
  • Number of documents and size of the room content in bytes (optional)

In addition to displaying it, the report saves the room inventory list as a CSV file in the folder of your choice.

Prerequisites

The SAP TREX (Search and Classification) search engine has been installed.

Procedure
  1. Choose Content Administration → KM Content.
  2. In the detailed navigation, choose Toolbox → Reports ( → Tools).
  3. In the Room Inventory report, choose the type of execution:
    • To start the report immediately, choose Start in the report menu.
    • To schedule the report to run repeatedly, choose Schedule in the report menu.
  4. Enter the name of the execution.
  5. Only for repeated execution: Define and activate the schedule.
  6. Enter the required execution parameters:
    • To find out how much memory is being used by the documents in a room (in bytes), choose Calculate Size of Documents.
      Caution

      The calculation of the memory occupied (default setting) affects system performance.

    • To find out how much memory is being used by the document versions in a room (in bytes), choose Calculate Size of Document Versions.
    • To find out how many users have been invited/uninvited to/from a room, choose Analyze invitations/uninvitations.
    • If the inventory list of rooms is to contain additional enterprise-specific information, enter the prefix (namespace) and the name of the custom property required.
    • Enter the path and the name of the folder that the report is to store the room inventory list in (the CSV file).
    • If necessary, check the plausibility of your entries.
  7. Immediate start: Choose Start.Start according to the schedule: Save your entries.
Result

The system runs the report according to the settings.

To display the results lists for the individual report runs, click the report icon or the report name. You can call up every single results list.
