Analyzing Folder Size Risk

Context

Use the Folder Size Risk Analysis report to analyze the size of each folder and to display a list of selected folders and files based on the specified parameters.

Procedure

In the portal, choose Content Administration KM Content Toolbox Reports Tools .
In the Folder Size Risk Analysis report, choose the type of execution:
- Immediate execution: Start
- Repeated execution: Schedule
Enter the name of the execution.
Only for repeated execution: Define and activate the schedule.

You can configure the following settings for this report on the Parameter tab:

Parameter	Description
Location	You can restrict the report to certain repositories or folders (including all subordinate folders). Specify all repositories and folders that are to be searched.
Maximum Results	The system terminates the search when it has found the corresponding number of items.

Parameter	Description
Search for files with size more than n MB	Specifies the size of the files. The value of this parameter must be a positive integer.
Search for folders with size more than n MB	Specifies the size of the folders. The value of this parameter must be a positive integer.
Include Version History	Include version history in the files and folder size calculation.
Include Hidden Files and Folders	Include hidden files and folders in the size calculation
Include Subfolders in Size Calculation	With this option enabled, the sizes of all subfolders (recursively) are included in the size of the parent folders. Example If this setting is selected, then when you have a folder A that contains folder B , documents C and D , the size of the this folder is A = B+C+D . But when this setting is not selected, the result is A = C+D

Note

When the two parameters Search for files with size more than n MB and Search for folders with size more than n MB are specified, the result of the report contains both folders and files larger than the defined sizes in megabytes.

For immediate execution, choose Start or save your settings for report execution according to the schedule.

Results

The system runs the report according to the settings. Once the report has finished, you can view the result by choosing the name of the report from the list of the reports. You can find this list when you choose Start of the navigation path Content Administration Next navigation step KM Content Toolbox Reports Tools Folder Size Risk Analysis End of the navigation path . If you want to see the reports exported in the XML files, choose Content Administration KM Content root Reporting Reports Content Administration Tools Next navigation step Folder Size Risk Analysis or open the View Report Result screen by choosing the report and then from the ID parameter choosing the XML file.
