Changing Room Permission OwnersLocate this document in the navigation structure

Context

Use the Room Permission Owners report to search for specified collaboration rooms and to change the permission owners for all folders and documents in the room to other users and groups.

Procedure

  1. In the portal, choose Start of the navigation path Content Administration Next navigation step KM Content Next navigation step Toolbox Next navigation step Reports Next navigation step Consistency Checks End of the navigation path.
  2. In the Room Permission Owners report, choose the type of execution:
    • Immediate execution: Start

    • Repeated execution: Schedule

  3. Enter the name of the execution.
  4. Only for repeated execution: Define and activate the schedule.
  5. You can configure the following settings for this report on the Parameter tab:

    Parameter

    Description

    Room Name

    The name of the room, you want to search. You can select only one room name to run the report.

    Note

    If there is no specified room name for this parameter, then the report searches for all rooms.

    Room Owner

    Logon ID of the room owner for whose rooms you want to search. You can select only one user to run the report.

    Note

    If there is no specified user for this parameter, then the report searches for all rooms. But if you specified a room owner, then this report searches for all rooms where the specified user is the owner.

    Room Categories

    The category of the room. In this field you can specify several room categories separated by comma.

    Room Templates

    The template of the room. In this field you can specify several room templates separated by comma

    Room Type

    The type of the room. In this field you can specify one of the following room types:

    • public

    • listed - this type is equivalent to the restricted type of the room

    • unlisted - this type is equivalent to the private type of the room

  6. For immediate execution, choose Start or save your settings for report execution according to the schedule.
  7. When the result from the report is ready, you can run the following commands for this report by opening the report result and then choosing the Commands tab:

    Change Permission Owners

    If it is required with this command, you can change the permission owners for all folders and documents in the room to other users and groups.

    Remove Room Main Group (appears once the Change Permission Owners checkbox is selected)

    Remove the main group of the room from the permission owners for all folders and documents in the room.

    Add Room Owner (appears once the Change Permission Owners checkbox is selected)

    Add the room owner as a permission owner for all folders and documents in the room.

    Add Group (appears once the Change Permission Owners checkbox is selected)

    Add a user group as a permission owner for all folders and documents in the room.

Results

The system runs the report according to the settings. Once the report has finished, you can view the result by choosing the name of the report from the list of the reports. You can find this list when you choose Start of the navigation path Content Administration Next navigation step KM Content Next navigation step Toolbox Next navigation step Reports Next navigation step Consistency Checks Next navigation step Room Permission Owners End of the navigation path. If you want to see the reports exported in the XML files, choose Start of the navigation path Content Administration Next navigation step KM Content Next navigation step root Next navigation step Reporting Next navigation step Reports Next navigation step Content Administration Next navigation step Consistency Checks Next navigation step Room Permission Owners End of the navigation path or open the View Report Result screen by choosing the report result and then from the ID parameter, choosing the XML file.
