Information BroadcastingLocate this document in the navigation structure

BEx Broadcaster allows users to precalculate queries, query views, Web templates, reports, and workbooks and broadcast them by e-mail, to the portal or to the printer. In addition to the precalculated documents in various formats (HTML, MHTML, PDF, ZIP, and so on), which contain historical data, you can also generate online links.

Further broadcast options and functions are available that have been specially customized for system administration. These include generation of alerts, broadcasting by e-mail based on master data (bursting), broadcasting in multiple formats using various channels, and precalculation of objects for performance optimization. Tools

The BW system contains the Broadcasting Administration transaction (RSRD_ADMIN). You can also call Broadcasting Administration from the Data Warehousing Workbench (transaction RSA1) by choosing Administration → Broadcasting.

To perform broadcasting functions that are intended for experts and administrators rather than information consumers, use BEx Broadcaster.

Use Alert Management to broadcast alerts. To broadcast content from BEx and BW objects to Knowledge Management in the portal, administer Knowledge Management.

You can also use the SAP Reference IMG in the BW system to perform customizing tasks.

Note

MHTML format is supported by the following Web browser:

  • Microsoft Internet Explorer

It is also supported by the following e-mail servers and clients:

  • Microsoft Outlook
  • IBM Lotus Domino 6 (partially)
  • IBM Lotus Domino Everyplace 3.0

Note that SAP cannot provide a complete list of all programs that support MHTML. If you use software that is not mentioned in the above list, you should check directly with your software provider.

User maintenance for broadcasting by e-mail

To broadcast by e-mail, enter E-Mail as the communication type in User Maintenance (transaction SU01) in the user master data for the end users and enter the corresponding e-mail addresses.

General settings for broadcasting by e-mail

To broadcast by e-mail, you need to make general settings in Customizing. As an example, you can define the retention period that specifies for how many days requests are saved in the system after e-mails are sent using broadcasting. You can also specify whether you want to insert a footer into e-mails that you send.

Broadcasting MHTML documents as e-mail attachments

When broadcasting documents in MHTML format by e-mail, you can make a setting in Customizing to specify that documents in MHTML format are sent as attachments when broadcast by e-mail.

E-mails in MHTML format are not always the best option for broadcasting content from BEx objects in broadcasting. This is the case for example if one of the following apply:

  • The recipients' e-mail clients do not fully support displaying MHTML
  • For security reasons, MHTML is not directly displayed as e-mail content.

You can use the Customizing setting to specify that when MHTML is broadcast by e-mail, the MHTML document is broadcast as an e-mail attachment. The MHTML is then displayed in the Web browser and not in the e-mail client.

Maintaining process chains for broadcasting when data is changed

To enable processing of broadcast settings when data is changed, add the DATACHANGE process type to the process chains for data loading.

Setting up broadcasting at predefined times

To specify times for processing broadcast settings, schedule report RSRD_BROADCAST_FOR_TIMEPOINT.

Broadcasting tasks for business experts and administrators

Information broadcasting provides various functions that are executed by business experts and in system administration. You can broadcast BW objects by e-mail to recipients who you can determine from the master data for example. You can also broadcast BW objects over multiple channels using one broadcast setting (e-mail, portal, printer). You can check exceptions in the background and broadcast alerts. There are also a variety of functions that you can use to optimize performance (such as filling the OLAP cache).

Activating Export Services

To export PDF, PostScript and PCL files from BEx web applications, activate the Export Library for SAP Business Explorer. This is optimized for exporting larger documents.

Administration of alert management

To create and broadcast alerts, you need to make a number of settings in Alert Management.

Set the style sheet for exception reporting

With exception-specific broadcasting, you can specify a CSS style sheet in Customizing. This is used when output is generated in HTML format. The value specified is a path in the MIME Repository, /SAP/BW/BEx/StyleSheets/BWReports_ie5.css for example.

If you do not specify a style sheet, the system uses the standard style sheet /SAP/BW/BEx/StyleSheets/BWReports_ie6.css.

You make this setting in the BI system under SAP Reference IMG → SAP Customizing Implementation Guide → SAP NetWeaverSAP NetWeaver Business Warehouse → Settings for Reporting and Analysis → Settings for Information Broadcasting → Settings for Distributing E-Mails.

Administration of Knowledge Management

To enable users to use the Knowledge Management functions together with the distributed BEx objects, you have to manage Knowledge Management and, for example, set up KM folders.

Set up BW Metadata Repository Manager

Using BEx Broadcaster, BEx Web Application Designer and BEx Query Designer, BEx Web applications and queries can be generated as links and distributed to Knowledge Management. The links access the BW system indirectly through the BW Metadata Repository Manager and then display the current data. To use this function, you have to set up BW Metadata Repository Manager.

Define standard Web templates for broadcasting, query precalculation, and report precalculation

From a technical viewpoint, BEx Broadcaster and Broadcasting Wizard are the Broadcaster Web item that is embedded in an otherwise empty Web application. You enter this Web application (0BROADCASTING_TEMPLATE70) as the Standard Web Template for Broadcasting in Customizing.

If you have precalculated and distributed a query, it is displayed as a table with a filter area (depending on the filters selected). From a technical viewpoint, the query is embedded in the Standard Web Template for Query Precalculation (0QUERY_TEMPLATE_BROADCASTING70).

If you have generated a report as a precalculated document, the Standard Web Template for Report Precalculation (0REPORT_TEMPLATE_BROADCASTING) is used. This template contains the Report Web item.

You can define the standard Web templates in Customizing and you can also specify other Web templates, such as your corporate logo, as standard Web templates, or customize the standard Web templates.

If you are using the runtime from SAP BW 3.5 instead of the new BW runtime, you need to use the following standard Web templates:

  • Standard Web Template for Broadcasting (0BROADCASTING_TEMPLATE)
  • Standard Web Template for Query Precalculation (0QUERY_TEMPLATE_BROADCASTING)
  • Standard Web Template for the Document Browser (0DOC_TEMPLATE2)

Monitoring the Sending of e-mails

In transaction SAPconnect:Administration (System Status), you can monitor and test broadcasting by e-mail of BEx objects.

Managing broadcast settings

In Broadcasting Administration (transaction RSRD_ADMIN), you can search for broadcast settings and their schedules using various criteria. You can edit the settings and delete any that are no longer needed. You can also search for and display log entries for troubleshooting. More information: Managing Broadcast Settings.

Monitoring parallel processing of broadcast settings

If there are multiple broadcast settings, or if there are broadcast settings that require user-specific processing for different users, the scheduled settings are processed in parallel. You can control parallel processing for information broadcasting in BW background management (transaction RSBATCH, process type BROADCAST).

Administrating bookmark IDs and view IDs

In Broadcasting Administration (transaction RSRD_ADMIN), you can reorganize and delete bookmark IDs and view IDs that the system created for information broadcasting and that are no longer needed.

Monitoring the precalculation server

The precalculation server is used for precalculating workbooks. You monitor the status of the precalculation server in Customizing (transaction SPRO) in the SAP Reference IMG → SAP Customizing Implementation Guide → SAP NetWeaverSAP NetWeaver Business Warehouse → Settings for Reporting and Analysis → Settings for Information Broadcasting → Administration of the Precalculation Server.

Monitoring the availability of BEx Web Applications and information broadcasting

The central monitoring system in the CCMS uses the Generic Request and Message Generator (GRMG) to check the availability of the SAP J2EE Engine at set intervals. If the availability check fails, an alert is triggered in the central monitoring system. This helps you to establish whether servers or processes in the J2EE Engine have failed. You can use the CCMS Alert Monitor (transaction RZ20) to check whether alerts have been triggered for BEx Web Applications and information broadcasting.
