Before you change a document, note the following:

  • Changes to documents are not historical. This means that the status of the document before the change is lost. This is still the case if you enter a change number in the document. If you want to save the old status of the document, you must create a new version.

  • In Customizing for Cross-Application Components, you can specify whether the system generates change documents for the document changes. Change documents show you who made a change to the document.

    You make the required settings under   Document Management   Control Data   Define Document Types.  

  • If the document you want to change has a status whose status type is Locked or Original in Process, most of the fields cannot be changed. To change document data, the document must first be given a different status.

  • Whenever you change a field in a document info record, a workflow event is triggered when you save. In the workflow, you can define a receiver for this event. For example, you can define and start enterprise-specific workflow tasks.

    The person responsible for a document can be informed via workflow functions of any change made to the document by another user.
