 Posting APC Automatically from Depreciation Area to G/L Locate this document in the navigation structure

Use

You can post the values of depreciation areas to the general ledger directly, without having to generate a batch-input session, using a new periodic APC posting run. In addition, you can directly update the values of depreciation areas to a ledger during the posting transaction. This direct update is similar to online posting used for the master depreciation area.

Note Note

The batch-input procedure for periodic posting remains in the system, but only for reasons of compatibility. Starting in Release ERP2004, we recommend that you no longer use this procedure. The report for the batch input procedure has been removed from the application menu.

Prerequisites

You can have the system directly update values from other depreciation areas in addition to the master depreciation area during a posting transaction. The system posts single documents for asset transactions in those depreciation areas that you specified as posting direct in their Customizing definition.

  • To make this setting, in Customizing for Financial Accounting (New) , choose   Asset Accounting   Valuation   Depreciation Areas   Define Depreciation Areas.

  • Check the definition of the depreciation area to see if Area Posts APC and Depreciation on Periodic Basis or Area Posts APC Directly and Depreciation is selected in the Posting in G/L field.

  • Check if the account assignments are entered for the depreciation area.

    For this setting, in Customizing for Financial Accounting (New), choose   Asset Accounting   Integration with the General Ledger   Post APC Values Periodically to the General Ledger   Assign G/L Accounts.  

  • Specify a document type for the periodic posting run.

    For this setting, in Customizing for Financial Accounting (New), choose   Asset Accounting   Integration with the General Ledger   Post APC Values Periodically to the General Ledger   Specify Document Type for Periodic Posting of Asset Values.  

    It is mandatory that this document type be assigned to a number range with external document number assignment.

Procedure

Follow this procedure to post APC values periodically:

  1. Start the periodic posting run in test mode first.

    On the SAP Easy Access screen, choose   Accounting   Financial Accounting   Fixed Assets   Periodic Processing   APC Posting   .

  2. Make the needed selections.

    The update run of the report has to be executed in the background, in order to improve system performance. Therefore, start the report in the background (report selection screen:   Program   Execute in Background   ).

  3. Check the log of the APC posting run.

  4. Generate an asset history sheet for the depreciation areas posted.

    On the SAP Easy Access screen, choose   Accounting   Financial Accounting   Fixed Assets   Information System   Reports on Asset Accounting   Notes to Financial Statements   International   Asset History Sheet.  

  5. Compare the asset history sheet values with the balances of the corresponding reconciliation accounts in the general ledger.

    On the SAP Easy Access screen, choose   Accounting   Financial Accounting   General Ledger   Account   Display Balances (New)   .
