When you edit documents on the SAP GUI, Document Management (CA-DMS) provides a browser in which you can select your documents (see Document Management Menu on SAP GUI).This is in addition to the selection screen.

Integration

Document Management (CA-DMS) uses the folder structure of SAP Easy Document Management to display and edit documents (see Work with Documents and Folders).

Prerequisites

  • You have activated SAP ECC Enterprise Extension PLM.

  • You have activated the document browser and if required, the ACLs, in Customizing for Document Management (CA-DMS) under Control Data.

    The Document Browser and Authorizations tab pages are available in document editing.

Features

An additional toolbar on the initial screen allows you to navigate between create (), change (), and display mode () and to create a new version (). Each mode only shows the icons for the functions that are available in that mode.

On the initial screen for document editing, you can choose one of the following options for selecting documents using the Select Document via... pushbutton:

  • Selection Screen

  • (SAP Easy Document Management) Browser

  • Selection screen and browser

The system displays the folder structure from SAP Easy Document Management (based on the document structure) on the right side of the screen in the browser. This folder structure contains a personal folder (My Folder) and a public folder (Public Folder). If you have not already created a personal folder, you can do this when you call the browser for the first time in document management.

The personal folder contains your local documents and the public folder contains all documents that are also available to all other users. Authorization to access folders and documents for each individual user is governed by ACLs.

You can do the following in the browser:

Print the view, print the entire hierarchy, print a preview of the view, or print a preview of the entire hierarchy

Select, change, save, or manage the layout

In search mode (see Enhanced Document Search), you have to select a layout before you can display a table (document list).

You can edit the documents in the folders via entries in the context menu:

  • Display

  • Change

  • Create

  • Delete link

    You can delete the document from the folder.

  • You can assign an up-to-date document to the folder structure.

    If you are in change mode, you can assign a document you have edited to the folder structure.

  • Display a thumbnail for an image that is assigned to the document info record

The system branches to the appropriate editing function in document management.

If you have branched to editing for a document info record, you can display, create, or change ACLs for the document info record using the Authorizations pushbutton.
