Start the application WebDocuments and edit the document in the change mode. See also: Displaying and Changing Documents

Customizing

The exchange of different types of data over the Internet is controlled with Multipurpose Internet Mail Extensions (MIME) protocol. Specify a MIME type in Customizing (IMG) for Document Management , under   General Data   Maintain Workstation Application.

The following overview contains the functions that you can carry out in the dataset Originals , depending on the processing situation.

Create

You can create a link to an original in your local network with the document info record, and check it into a central storage system (secure storage area).

  1. Choose Create.

    You get to a page where you specify the file name.

  2. Enter the file.

    Either enter the complete file name, or select the file using the file manager ( Browse function).

    You can copy the file from the file manager by double-clicking.

  3. Check the file into the storage system by choosing Check In. The system determines the storage system from the system settings.

  4. You return to the data sheet. The original application file is indicated by the Checked In  ( ) icon.

  5. Save the document.

Process

You can process an original application file. Normally you can find these files in a central storage system. In this case you must first load these original application files.

  1. Choose Process.

    You get to a new page. To check in the file into your local network, choose Load.

  1. Choose a directory, and assign a file name.

Make a note of this local storage location.

  1. When the file manager has closed again, choose Load OK.

This means that the document is reserved uniquely for the user who loaded it. Another user cannot load it.

A loaded original application file is indicated by the  ( ) icon on the data sheet.

  1. You can now process the original application file independent of the document info record, and save the processing status locally.

    You can then start processing in the file manager, or open the document with a MS Office application.

If you have completed editing the original application file, you can link the new processing status to the document info record once again.

To do this start WebDocuments. Edit the document info record in the display mode, and check in the original application file.

Check In

You can check in originals, which are saved in the local network, into a storage system. The following originals are indicated by the  ( ) icon:

  • Originals that are to be checked in for the first time.

  • Originals that have already been checked in, and loaded into the local network for changing.

To do this start WebDocuments. Process the document info record in the change mode.

  1. Select the original in the Originals dataset.

  2. Choose Check In. The system determines the storage system based on the system settings, and checks in the original.

  3. You return to the data sheet. The original application file is indicated by the Checked In  ( ) icon.

  4. Save the document.

Delete

You can delete the link between a document info record and an original. The original application file itself is not deleted.

  1. Select the original application file.

  2. Choose Delete.

  3. Save the document.

Reset

You can use this function to undo changes you have made to a loaded original application file. All actions that you carried out since loading are reversed. The original application file is returned to its pre-loading condition.

  1. Select the loaded original application file.

  2. Choose Reset.

  3. Save the document.
