 Reorganization of Product Cost Collectors Locate this document in the navigation structure

Purpose

Product cost collectors that you no longer need can be deleted or archived in a reorganization run. The deletion indicator must be selected for the product cost collectors that you want to include in a reorganization run.

Product cost collectors are linked to other objects such as manufacturing orders, production versions, or run schedule headers. Before product cost collectors can be reorganized, certain conditions must be fulfilled that affect both the product cost collectors themselves as well as the assigned orders or production versions.

In releases before 4.6A, repetitive manufacturing is based on run schedule headers. From release 4.6A onwards, repetitive manufacturing is based on production versions.

For the sake of simplicity, manufacturing orders, run schedule headers, and production versions are all called logistical objects in this section.

Setting the deletion flag (status DLFL) improves system performance during period-end closing in Cost Object Controlling because product cost collectors with the status DLFL are not included in the period-end closing process.

Prerequisites

A product cost collector can only be flagged for deletion under the following conditions:

  • All activities of the period-end closing process (such as WIP calculation or variance calculation) that reference quantity data of logistical objects:

  • Are completed

  • Cannot be repeated

You ensure that this is the case by locking the last period in which a confirmation or goods movement on a logistical object took place, as well as all periods preceding this period, against WIP calculation and variance calculation. This has the following consequences:

  • The cutoff period for WIP calculation for the relevant periods must be set.

  • The period lock for variance calculation for the relevant periods must be set (transaction KVAR) (see also: Period Lock ).

It is not possible to calculate variances in a test run nor in an update run for periods for which the period lock is set.

  • The deletion indicator (status DLT) is selected for all manufacturing orders linked to the product cost collector (for detailed information, refer to the section Reorganization of Manufacturing Orders )

This is important because the information on the operation quantities and scrap quantities confirmed during the period is stored in files that belong to the logistical objects. If the logistical objects were deleted, this quantity information would be lost. This quantity information is, however, needed in the period-end closing process of Product Cost by Period to calculate data such as work in process or scrap variances. If the quantity information were deleted, this would result in inconsistent data. In addition, it is still possible to update scrap to manufacturing orders that have the status DLFL.

  • The work in process on the product cost collector has been canceled.

  • The product cost collector has a balance of zero.

This means that the product cost collector must have been completely settled.

To make sure that the product cost collector is completely settled, go into Customizing for the Product Cost by Period component under   Product Cost Collectors   Check Order Types for Product Cost Collectors   and specify a settlement profile in which you have defined that the product cost collector must be settled.

You can define the settlement profile in Customizing for Product Cost by Period under   Period-End Closing   Settlement   Create Settlement Profile   .

  • The run schedule headers or production versions assigned to the product cost collector have been deleted (for detailed information, refer to: Deleting Production Versions ).

The deletion indicator can only be selected if the deletion flag was set and the required residence time has been reached. The residence time is defined in the order type. To define the residence time for product cost collectors, go into Customizing for Product Cost by Period under   Product Cost Collectors   Check Order Types for Product Cost Collectors   . To define the residence time between the time that the deletion flag is set and the time that the deletion indicator is selected, make an entry in the field Residence time 1 .

A reorganization run can only be performed if the required residence time between the time the deletion indicator was selected and the time of the reorganization run has been reached. To define the residence time between the time that the deletion flag is set and the time that the deletion indicator is selected, make an entry in the field Residence time 2 .

Process Flow

The reorganization process is described in the following.

  1. You set a deletion flag for the product cost collector (status DLFL).

The deletion flag for the product cost collector can only be set under the following conditions:

  • All dependent manufacturing orders (production orders and process orders) and run schedule headers have deletion indicators.

  • The work in process of the product cost collector has been canceled.

  • The product cost collector has a balance of zero.

  1. If the deletion flag is set for a product cost collector, the system automatically selects the deletion indicator for the link between the product cost collector and the production process . This ensures that a new product cost collector can be created for the same production process.

  2. You select the deletion indicator for the product cost collector (status DLT).

Result

When you flag a product cost collector for deletion, it receives the status DLFL (deletion flag).

When you select the deletion indicator for a product cost collector, it receives the status DLT (deleted).

You can deselect the deletion flag if follow-up costs must be charged to the object, for example. A prerequisite is that no new product cost collector has been created for the same production process in the meantime. If a new product cost collector has been created for the production process in the meantime, the deletion flag cannot be deselected. Once a deletion indicator has been selected, it cannot be deselected. Therefore, observe the following recommendations regarding the deletion indicator:

  • Only select the deletion indicator for product cost collectors for which no follow-up costs are expected.

  • Only select the deletion indicator for product cost collectors that meet the conditions described above.

  • Only select the deletion indicator when the accounting period has been closed, since it is not possible to settle any more costs to FI once the accounting period is closed.

Example Example

As long as the accounting period is not yet closed, data (such as from results analysis) can still be transferred to Financial Accounting (FI). Results analysis data can be calculated for a period as long as the cutoff period for that period has not been set.

Product cost collectors that have a deletion flag are not included in the period-end closing activities. This improves performance during period-end closing.

The Product Cost Controlling Information System shows the data of product cost collectors that have a deletion flag and a deletion indicator.
