  Changes to the Budget Structure Locate this document in the navigation structure

Use

If you change an existing budget structure in the productive system you have to note the following:

If you have added new budget objects to your budget structure (BS) although the budget had already been allocated, you must adapt the distributed values and the budget values again after the change. Depending on the changes you have made, the system can only carry them out in part. You will probably have to adjust the budget values manually.

For this reason you should not make any changes to the budget structure if budget has already been assigned to the budget objects.

If it is still necessary to change the BS, although budget distribution has already taken place, you have two possibilities to adjust the distributed and budget values.You must always reconstruct the assigned values again afterwards.

The respective steps that you have to carry out when changing the budget structure, depend on whether the BS was defined using budget structure templates (BS templates) or individual objects.

Activities

Defining budget structures using individual objects

Carry out the changes in the budget structure.

Choose   Accounting   Public Sector Management   Funds Management   Master Data   Budget Structure   Former Budgeting   Change   .

Check the budget consistency with program Budget Consistency Check (BPDIST04).

Choose hierzu   Accounting   Public Sector Management   Funds Management   Information System   Analyses   Budget (Former Budgeting)   Budget Consistency Check   .

I there are inconsistencies in the budget data, you can remove them in two ways:

  • You use program Reconstruction of Distributed Values (BPDIST01) to reconstruct distributed values.

Choose   Accounting   Public Sector Management   Funds Management   Budgeting   Former Budgeting   Tools   Reconstruct Distributed Values.  

This program recalculates only the distributed values but not the budget values.You therefore have to manually adjust the budget values after the program run.

  • You use program Reconstruction of Distributed Values (BPDIST05) to reconstruct budget values.

Choose Accounting   Accounting   Public Sector Management   Funds Management   Budgeting   Former Budgeting   Tools   Reconstruct Budget.  

Caution Caution

The program adjusts the budget and distributed values, but it is subject to specific limitations.For more information about these limitations, see the program documentation by selecting  ( ) .

SAP therefore recommends that you eliminate inconsistent data using reconstruction of distributed values and manual budget adjustment.

Reconstruct the distributed values with program Reconstruction of Distributed Values ( BPINDX03).

  ChooseAccounting   Public Sector Management   Funds Management   Budgeting   Former Budgeting   Tools   Reconstruct Assigned Values.  

BS defined with BS Templates:

Change the definition of the BS template or of the budget structure.

You must change the template definition if:

  • You want to change the object function (budget object/posting object) for a commitment item within the BS template.

  • You want to add new commitment items to an existing template.

Choose   Accounting   Public Sector Management   Funds Management   Master Data   Budget Structure   Former Budgeting   Budget Structure Template   Change   .

You must change the budget structure if you want to assign a different budget structure template to a funds center.

Choose   Accounting   Public Sector Management   Funds Management   Master Data   Budget Structure   Former Budgeting   Change   .

Generate the budget structure out of the budget structure templates.

Choose   Accounting   Public Sector Management   Funds Management   Master Data   Budget Structure   Former Budgeting   Generate Budget Structure Template   .

Perform steps 2-4 as described under Budget Structure is defined using individual objects .
