 Planning with Excel Integration Locate this document in the navigation structure

Use

You can use Microsoft Excel as an interface to enter planning data in the SAP system. The Excel entry screen is included in your SAP system.

Prerequisites

The entry of planning data is based on the settings in the planning layout . In order to carry out planning using Excel as an entry screen, the following prerequisites must be met:

  • You have to first define the planning layout which serves as the basis for entering the planning data.

    Caution Caution

    If you change a planning layout after creating an Excel template for it you can no longer use this Excel template. In this case, you have to create a new Excel template.

  • Planning data that matches the planning layout (at least one line) must already be in the system. If there is no planning data, enter this data using the planning layout desired without Excel integration.

Preparations for Planning with Excel Integration

  1. In the Customizing of Funds Management, choose   Budget Control System (BCS)   Budgeting   Budget Entry   Planning   Define Planner Profile.  

  2. Navigate to the desired planning task and in the section Planning Tasks for the Table , set the indicator Integrated Excel. This ativates Excel integration for this planning task.

  3. Open the default parameters for your planning task.

    Enter the values for the variables defined in the planning layout. This entry is necessary so that the Excel sheet can be opened in the next step.

  4. Choose  ( ) ( Overview ScreenF5 ). This opens Microsoft Excel as the entry screen.

    The system automatically assigns a file name. A connection between the planning task and the Excel sheet is created by the file name, that is, a connection between the cells of the spreadsheet and the cells of the planning layout.

    Note Note

    You can also define a file name. To do this, you have to go to the column File Name in the planning profile when editing your planning task and enter your own file name.

  5. This takes you to the screen Maintain File Name with Excel as the entry screen.

    The planning layout is displayed as an Excel spreadsheet. You can set up the spreadsheet individually. Various functions are available for this purpose. For more information see Functions for Editing Excel Sheets .

  6. To save your Excel template, choose  ( ) Save File Name . This saves your file name and the Excel layout.

  7. To return to the default parameters, choose  ( ) ( BackF3 ).

  8. You can delete the values that you entered for the variables in the default parameters if you do not want to display them for planning. Then choose  ( ) ( Save Ctrl+S ).

    Caution Caution

    The default parameters are only saved temporarily at this point. To assign the file name to the planning layout and to save the values for the variables, you have to save the planner profile.

Entering Planning Data with Excel as the Entry Screen

Once you have set up and activated Excel integration for a planning layout, you can enter your planning data by using Excel as an entry screen.

  1. Ensure that the planner profile and the totals tables to which the planning layout is assigned are assigned to your user master data. To assign a planner profile and totals table to your user master data, choose   Budgeting   Budget Control System (BCS)   Planning   Set Planner Profile in the Funds Management menu.  

  2. In the Funds Management menu choose,   Budgeting   Budget Control System (BCS)   Planning   Change Plan Data.   Excel opens as an entry screen within your SAP system. The planning layout is displayed as an Excel spreadsheet.

  3. Enter your planning data.

    Caution Caution

    You should not use the following functions:

    • Delete

    • Insert

    • Sort

    If you use these functions, the data cannot be imported properly into the SAP system.
