 Maintaining One Status Entry for Several Master Data Objects Locate this document in the navigation structure

Procedure

To maintain one status entry that covers more than one object, proceed as follows:

  1. In the Funds Management menu, choose   MasterData   Control   Status Management   Maintain.  

  2. On the Change status Initial Screen, enter the fiscal year for the FM area, and the objects for which you want to maintain a status entry.

    You can read which input options you have for the objects in Maintaining System Status and User Status

  3. Choose   Status   Individual maintenance.  

    The screen Maintain Status : Individual appears .

    Note Note

    If you have not maintained a status for the fiscal year you have entered, you must first create the FM area. When you do this, a dialog box appears, where you can set the status created for the FM area or the objects contained in it.

    The system automatically generates an entry for all the funds centers, commitment items, and funds (<funds center */commitment item */fund *>).

  4. Subsequently save your status entry by choosing   Status   Save.  

  5. In the Maintain status screen you can now: Change the system status and/or the user status individually.

    When changing the system status, you must go through the following steps:

    • You can change the system status from Created to Released (Choose   Edit   Change status   Release).  

    • You can change the system status from Released to Closed (Choose   Edit   Change status   Close).  

    • You can reverse the above changes (Choose   Edit   Change status   Reverse   Releaseor Close.)  

    • If the transaction you choose is allowed, the system status is changed accordingly. If it is not allowed, an error message appears. You see the cause of the error in an error log. Choose   Extras   Error logto display the log.  

      To change the user status, choose   Edit   Change status   Change user status   .

      This brings up a dialog box showing all the user statuses in the status profile assigned to the FM area. You can set or delete as many user statuses as you want.

      Note Note

      If you need more information on the status set, choose   Extras   Details.   This accesses the detail screen for status maintenance. You can set or delete user statuses here too.   Choose Extras   Business transactions   to display all the business transactions permitted or forbidden in the status currently set.

  6. To save your input, choose   Status   Save   .
