Use

The assignments between posting addresses and the corresponding budget addresses are saved as index entries. The system always creates index entries automatically when posting addresses are created. When the index entries for posting addresses are created, the corresponding budget addresses are saved on the basis of the assigned derivation strategy for budget addresses.

Note that if you change the derivation strategy for budget addresses, this does not automatically mean that the corresponding index entries are adjusted. If you change the derivation strategy for budget addresses, this can cause inconsistencies with the index entries stored in the database. Inconsistency in index entries occurs if the index entries are different from the current assignments (derived in accordance with the current derivation strategy) of posting addresses to budget address.

Integration

The index entries provide important information on the following functions of the Budget Control System:

  • as an account assignment reference for the derivation of the corresponding availability control objects

  • for calculating the residual budget during the fiscal year change

  • for reporting purposes

Index entries are saved by the system even if no budget or posting addresses are used. In this case, the index entries of the corresponding FM account assignments are derived when the actual/commitment postings are saved.

Caution Caution

After every change you make in the derivation strategy for budget addresses, you must ensure that there are no inconsistencies between the index entries saved in the database and the current valid derivation strategy. This is particularly important for the fiscal year change.

Features

Check and reconstruction of index entries

You can check the index entries using the program Budget Structure: Display Inconsistencies in Index . If inconsistent index entries are displayed, you can reconstruct them in accordance with the current valid derivation strategy using the program Budget Structure: Index Reconstruction .

Check for inconsistent posting or budget addresses

Changes to master data can also cause budget or actual/commitment to occur in FM account assignments which are not posting or budget addresses according to the current budget structure. The checks for inconsistent data can be carried out using the programs Display Inconsistent Posting Data or Display Inconsistent Budget Data .

You carry out the check for inconsistent index entries, the reconstruction of index entries and the check for inconsistent budget or posting data in the Funds Management menu under   Master Data   Tools   Use of Account Assignment Elements   Budget Control System (BCS)   Budget Structure   Index   .
