The Request Audit Trail option allows you to view a request audit trail that shows the request approval history. The audit trail displays details of a request:

  • Request number

    Beside the request number, you can choose a + icon to view important audit trail information about actions taken with respect to this request. Details include:

    • Request approval or rejection, along with the date.

    • Action Remove

    • Identity of delegated approver, if any

    • Forwarded By and Forwarded To, in the case of forwarding

    • Identification of approver as Administrator, if the request was approved by an administrator via the configuration menu

    • Records existing roles removed from the request

    • Identification of each role added and specific details, including the date, the requestor, validity dates, and the reason including via parent roles through role mapping or default roles.

      Following is an example of role audit trail information:

Activities

  1. On the My Work tab, choose Request Audit Trail. The Search Request Audit Trail screen appears.

    Note Note

    Each field on this screen is a search criterion. You can enter information in any field and then choose Search. However, if you are searching for a particular request, enter the fields with unique identifiers.

    Field Name

    Description

    Request ID

    If you know the Request Number (or part of it), enter it here. Wildcards are accepted.

    Workflow Type

    Select the type of workflow the request may be associated with from this list.

    User Last Name

    If you know the last name of the user, you may enter it here.

    User First Name

    If you know the first name of the user, you may enter it here.

    User ID

    If you know the User ID of the user, you may enter it here.

    Requestor Last Name

    If you know the last name of the requestor, you may enter it here.

    Requestor First Name

    If you know first name of the requestor, you may enter it here.

    Requestor ID

    If you know ID of the requestor, you may enter it here.

    Manager Last Name

    If you know the last name of the requestor’s manager, you may enter it here.

    Manager First Name

    If you know the first name of the requestor’s manager, you may enter it here.

    Manager ID

    If you know the ID of the requestor's manager, you may enter it here.

    Status

    If you know the status of the request you are searching for, select it here.

    Request Type

    If you know the type of request you are searching for, select it here.

    Request Priority

    If you know the priority of the request you are searching for, select it here.

    Create from Date

    To search for requests within a certain date range, enter the beginning of the range you are searching here.

    Create to Date

    To search for requests within a date range, enter the end of the range you are searching here.

  2. Choose Search.

    The Audit Trail - Search Results screen appears.

    You may print the results or download them to your computer for review.

  3. Choose the Print pushbutton to print the results.

  4. Choose Download to download for review.
