Definition

When you have transferred a planned budget from SAP BI to SAP ECC, the budget number identifies the budget across components for a unique combination of characteristic values. You define the characteristics in Customizing for the Budget Level in SAP BI.

Use

When you transfer a planned value for a certain characteristic combination to SAP ECC for the first time in planned data transfer, SAP BI assigns a unique budget number to it. The system determines the number using a number range object; the OTB and PPW applications use separate number ranges.

In the operational application in SAP ECC, the budget assignment is determined first using the characteristic values. The system then saves the assignment of budget numbers to documents. From now on, the system accesses the budget data using the budget number.

If you extract the document data to SAP BI, you can determine the characteristic values for the budget level using the budget number, and then update the actual data.

Using Budget Numbers with OTB Allocation by Order Periods

If you use OTB allocation, this is taken into consideration in the planned data transfer as follows: data records exist in the InfoCube for each combination of delivery period and order period. The budget number is allocated per delivery period, that is, all records with different order periods for a delivery period are given the same budget number.

After the planned data transfer, for each order period SAP ECC totals the planned budgets for the preceding order periods for a delivery period. This means that when you switch to the next order period, it is not necessary to transfer the overbooked or available budgets. If you order goods to the value of EUR 4000 in 01/2008 for the delivery month 03 of the same year using budget 1234, then when the month changes from January to February, the free amount of EUR 1000 does not need to be transferred, as the sum of EUR 9000 (5000 + 4000), including the unused budget from the previous month, is available in February.
