Defining
Drilldown Reports
You can define the following reports using the drilldown technique:
● Balance sheet reports
○ One axis with key figure
○ Two axes
● Balance lists
You define your reports and forms in Customizing for General Ledger Accounting (New) under General Ledger Accounting (New) → Information System → Drilldown Reports (G/L Accounts). Perform all of the activities beneath this node.
The procedure for creating reports and forms corresponds to the procedure in classic General Ledger Accounting. This section discusses the differences between classic General Ledger Accounting and new General Ledger Accounting.
When creating forms, you need to observe the following:
● Select One Axis with Key Figure as the form type.
● In the Handling the Currency screen, set the One Currency per Element, with Currency Translation indicator. Only one currency is possible for a balance sheet report.
● If you want to define the characteristics for all columns, choose Edit → General Selections → Display/Change. Here, you enter the general selection criteria, such as ledger and business area. You can enter fixed values for these characteristics.
● If you want to define the characteristics of the individual columns, you always have to select Balance Sheet Value as the key figure. This value is then entered in the column.
After you have determined the key figure, you can select the characteristics you want, such as fiscal year and company code.
You then enter the values for your characteristics. You can enter either fixed values or variables as your characteristic values. To enter variables, choose Variable On/Off. The input field is changed accordingly. In contrast to classic General Ledger Accounting, there are no predefined global variables. Instead, you have to define local variables at this point. A local variable must always begin with a $ sign.
When creating reports, you need to observe the following:
● When you determine the breakdown characteristics with Goto → Select Characteristics, you must select the characteristics Financial Statement Item or Financial Statement Item/Account. In addition, you can select the characteristics that you require (such as functional area, cost center, or profit center).
● To set the Financial Statement Version indicator, go to the SAP Easy Access menu and choose Edit → Hierarchy Selection.
When executing the report, you need to observe the following:
● To include a report in the report tree, select application class FBRG.
● To execute the reports in new General Ledger Accounting, go to the SAP Easy Accessscreen and choose Accounting → Financial Accounting → General Ledger → Information System → General Ledger Reports (New).
When creating forms, you need to observe the following:
● Select Two Axes (Matrix) as the form type.
● In the Handling the Currency screen, set the One Currency per Element, with Currency Translation indicator. Only one currency is possible for a balance sheet report.
● If you want to define the characteristics for all columns, choose Edit → General Selections → Display/Change. You must select Financial Statement Version as the general selection. All other selection criteria are optional, such as ledger or business area. You can enter fixed values for these characteristics.
● If you want to define the characteristics of individual columns, note that you must always select Financial Statement Version as the characteristic for the first column (lead column). On the next screen that appears, choose the Hierarchy Node pushbutton and select the desired balance sheet item using input help. You can enhance these reports by adding the balance sheet items you want in the individual rows.
You can also calculate values for the individual rows of the key column. To do this, you have to select the Formula element type. You can calculate totals from the balance sheet items for certain rows, for example.
● If you define the characteristics for the other columns, you always have to select Balance Sheet Value as the key figure. This value is then written to the column.
● When determining the breakdown characteristics with Goto → Select Characteristics, you can select any number of characteristics, as required. You can also select the characteristics that meet your needs (such as functional area, cost center, or profit center).
● No hierarchies are selected for this report.
When executing reports, you need to observe the following:
● When including a report in the report tree, select application class FBRG.
● To execute the reports in new General Ledger Accounting, go to the SAP Easy Accessscreen and choose Accounting → Financial Accounting → General Ledger → Information System → General Ledger Reports (New).
When creating forms, you need to observe the following:
● You can select any form type.
● In the Handling the Currency screen, set the Any Currency, No Currency Translation indicator. Any currencies can be used for a balance list.
● If you want to define the characteristics for all columns, choose Edit → General Selections → Display/Change. You can select any selection characteristics that you need, such as ledger, version, and profit center, and enter fixed values for them.
● If you define the individual columns, you can select any key figure for each row, such as the total of the debit postings for one row, the total of the credit postings for the second row, and balance for the third row.
