Use

Service permissions allow users to use specific functions in conjunction with an item, for example, subscribing to folders. You can define these permissions only for folders.

Prerequisites

To display the permissions, you need read permission.

To change the permissions, you must be a permission owner.

Procedure

...

       1.      Open the Details dialog box for the folder.

       2.      Choose Settings ® Service Permissions.

       3.      Enter one or more users, groups, or roles.

       4.      Specify the range of the search operation by choosing one of the following options from the dropdown list.

       All

The system performs a search through all existing users, groups and roles.

       Users

The system performs a search only through all existing users.

       Groups

The system performs a search only through all existing groups.

       Roles

The system performs a search only through all existing roles.

       5.      Choose Add.

       6.      Select one of the following permissions:

Collaboration

Managing Collaboration functions for documents.

Approver Administration

Activating and deactivating the approval process.

Defining approval steps and the list of approvers.

Displaying all documents irrespective of their status (including documents that have not yet been released).

Skipping the approval process (publishing documents immediately without taking into account the outstanding approval steps).

Layout

Defining the display of the folder content for all users.

Unsubscribe Only

Ending subscriptions but not creating them.

Subscribe (Myself Only)

Ending subscriptions and subscribing yourself to items (only for documents in the current folder, not in subfolders; no subscriptions for other users).

Subscribe

Ending subscriptions and subscribing yourself or other users to items (only for documents in the current folder, not in subfolders).

Subscription (All)

Ending subscriptions and subscribing yourself or other users to items (also for documents in subfolders).

Recommendation

We recommend that you are careful about assigning the Subscribe (All) permission, because subscriptions to folder structures can generate a large number of notifications.

Full control

This service permission includes all other service permissions.

 

       7.      Choose Save.

       8.      Optional: Add other users to the list of permission owners.
