Determining the Size of KM Folders 

Use

You can use a report to determine the size of KM folders. The report calculates the size of a folder from the sum of all documents and subfolders contained therein.

You can use this report for the following purposes:

●      Case A: To create a list containing the sizes of all folders.

●      Case B: The set the folder size as a new property for the folder.

 

Procedure

...

       1.      In the portal, choose Content Management ® Reports ® Folder Size Calculation.

       2.      If you want the report to start immediately, choose Start from the list of commands. If you want the report to run later on, choose Schedule.

       3.      Enter a name for the report.

       4.      If you choose Schedule, enter the start time of the report on the Schedule tab page and specify the recurrence interval in the Repeat field if required.

       5.      On the Scope tab page, enter the paths to the folders you want the report to analyze. To do so, choose one of the following options:

●      Enter a path directly into the Location field, and choose Add.

●      Use the Browse... function to navigate to the required folder. Choose the folder, and then choose OK.

       6.      Go to the Parameters tab page and enter the relevant parameters for case A or B.

 

Parameter	Relevant for	Description
Set property for folder size on top-most folder	Case B	If you activate this parameter, the folder size is entered as a property for the top-most folder in the hierarchy (see other parameters below).
Set property for folder size on each folder	Case B	If you activate this parameter, the folder size is entered as a property for each folder in the hierarchy.
Property name for the size property	Case B	Enter the name of the property to carry the size information. The name may not begin with a number. Example: foldersize
Property name for the date of the last calculation	Case B	Enter the name of the property to carry the information on the date of the last calculation. Example: calculationdate
Namespace for the size property and the date property	Case B	Enter the namespace for these two properties. Example: http://sapportals.com/xmlns/cm/reporting
Include version history	Cases A and B	If you activate this parameter, the system includes document versions in the size calculation.
Include hidden files and folders	Cases A and B	If you activate this parameter, the system includes hidden files and folders in the size calculation.
Create a report list including all collections and sizes	Cases A and B	If you activate this parameter, the report generates a tabular evaluation that lists all folders and their sizes. You can use this to check whether or not the report was able to set the properties without errors in case B.

 

       7.      Test the validity of the chosen specifications by choosing Verify.

       8.      To complete your specifications, choose Save. The report starts. If you specified Schedule, the report starts later on, at the time your specified.

 

Result

Once the report has finished, you can call the result by choosing the name of the report. You then see information on the total size of the folder hierarchy and the number of folders and files.

Case A: A table contains all found folders in the hierarchy and their sizes.

Case B: The selected property is set for each relevant folder. It displays the size information for the folders in question. By default, the properties are displayed in the Details dialog box for a folder in the Miscellaneous property overview.

 

To remove properties set for the folders, you can use the Propagation of Properties report. In addition to propagating properties, this report also allows you to delete them.
