You can use this Business Function to activate the following functions that are available for HCM Processes and Forms:

  • New functions in Design Time Tool (DTT) that allow you to start processes for multiple employees, start organizational processes, start processes without employee selection

  • New sample processes

  • You have activated the Business Function HCM, Administrative Service 01 in your ERP system.

  • You have made the Customizing settings mentioned in the Release Notes.

Additional Services for Self-Services

The following prerequisites apply to the self-services:

  • To use the services for managers, you must have integrated the appropriate portal pages and iViews into the Manager Self-Service 1.41 portal role of the Business Package for Manager Self-Service 1.41.

Features

There are new functions available in the Design Time Tool for starting processes:

  • It is possible to start a process for multiple employees at the same time, entering data for all employees in table format and generating process instances for each employee if workflow is necessary.

    This saves time and effort, as you only have to perform the start process step once for all employees. There is a function available, Set Values for Selected Employees, which allows you to enter a piece of data for several employees at once. This helps to ensure that data is consistent for all employees.

  • It is possible to start processes for object types other than employee. You can start a process for the object types job, position, or organizational unit. You are not restricted to the object type employee, which makes process execution more versatile.

    Example Example

    It is necessary to create a new position.

    You use the object type Position to start the process. This allows you to create and execute processes where a specific object is involved, instead of a specific employee.

  • It is possible to start a process without selecting an employee first.

    Example Example

    You need to make a bonus payment to an employee, but you do not have employee information. If it is necessary to start this process as soon as possible, you can select the Skip Employee Selection checkbox. A later agent in the process can assign the employee details.

    This speeds up the execution of a process where the first agent does not have employee details available.

  • There is a new container element notify_via_mail available, which allows you to send an e-mail to the next agent involved in a process advising them that there is a work item to be executed. This ensures that work items are executed as soon as possible, avoiding delays in a process because agents have not checked their worklist for work items.   • There is a new container element BUSINESS_STATUS available, which allows you to display the business status for a process alongside the processing status in the process browser. The business status can be customized in the back-end system in Customizing for Personnel Management by choosing Start of the navigation path HR Administrative Services Next navigation step Configuration of Forms/Processes Next navigation step Process Configuration Next navigation step Set Up Processes Next navigation step Maintain Business Status End of the navigation path. You can specify the text that you want to appear for a particular step status, providing more detailed information for the next agent in the process.

  • The following new services are available in the Business Package for HR Administrator 1.41:

    • HCM Process Overview allows you to view all employee and organization-related processes that are in progress or completed on one screen.

    • Start Process for Employee allows you to start processes for an employee and maintain data for that employee.

    • Start Process for Multiple Employees allows you to start a process, with or without workflow, for more than one employee at the same time.

    • Search Employee Processes allows you to search for employee processes that are in progress or completed.

    • Open Employee Processes allows you to view all open employee processes together on one screen.

    • Start Organizational Process allows you to start processes for object types job, position, and organizational unit.

    • Search Organizational Processes allows you to search for organizational processes that are in progress or completed.

    • Open Organizational Processes allows you to view all open organizational processes together on one screen.

    In the Business Package for Manager Self-Service, new services are provided under the workset Team:

    • Start Process for Employee allows you to start a process for an employee and maintain data for that employee

    • Start Process for Multiple Employees allows you to start a process, with or without workflow, for more than one employee at the same time.

    • Employee-Related Process Overview allows you to view all employee processes, which are processes started with object type employee, along with the status of those processes.

    There is a new workset Organization, with new services provided for the manager:

    • Start Organizational Process allows you to start processes for object types job, position, and organizational unit.

    • Search Organizational Process allows you to search for organizational processes that are in progress or completed.

    • Organization-Related Process Overview allows you to view all organization processes, along with the status of those processes.
