You can use this business function to make the process of recruiting and hiring suitable applicants more efficient and make it much easier to work with SAP E-Recruiting.

The business function has the following advantages:

  • It provides your company's recruiters and recruiting administrators with intuitive user interfaces for completing their tasks.

  • The business function's user-friendly services support the recruitment process in your company, for example, with regard to identifying the most suitable candidates for the vacant jobs.

  • It replaces the previous Business Server Pages (BSP) interfaces with interfaces in Web Dynpro ABAP, the standard interface technology for SAP's Web-based applications. This enables you to use the functions provided by SAP NetWeaver®, such as personalization of UI elements, configuration of the UI using a configuration wizard, and the modification-free enhancement concept.

For recruiters and recruiting administrators, this business function contains numerous enhancements on the user interfaces, optimizations of the processes, and new functions.

Features

Recruiter Portal Role

The new Recruiter portal role (SAP_RCF_RECRUITER_ERC_CI_2) contains in one view all relevant information and services that recruiters need to complete their daily work. The services for this role are based on Web Dynpro ABAP. Access to the services is supported in the standard system via a work center in SAP NetWeaver Portal.

The user interfaces that are available for recruiters for their tasks have been completely revised so that recruiters can perform their processes more effectively.

In addition to numerous small changes, the following optimized user interfaces in particular contain additional new functions:

  • Requisition Management

    • Work Center

      The Work Center contains a dashboard that provides recruiters with an overview of the worklists that they must process to complete their tasks in Requisition Management and Application Management. Key performance indicators (KPIs) show recruiters where they need to take action and enable recruiters to navigate directly to the individual requisitions, for example, to complete them.

    • Requisition, Job Posting, Publication

      The new user interface for creating a requisition is now structured more clearly and consists of just 4 tab pages that contain all relevant information. The tab pages group together the general job information, the requirements for a candidate, the support team, and the job postings with all publications. In this way, recruiters can create requisitions, associated posting texts, and publications faster and more intuitively.

  • Applicant Tracking

    The dashboard provides recruiters with a complete overview of Applicant Tracking for all requisitions or just their own requisitions. At a glance, the recruiter can see how many candidates are in the individual processes and need to be completed. Via the dashboard, the recruiter can navigate directly to the processes and to the candidate selection for the individual requisitions.

  • Activity Management

    Pushbuttons are available that enable recruiters to create the most important activities quickly and easily.

    An application wizard supports recruiters in creating the relevant activities. The application wizard provides recruiters with an overview of all existing activities for one or more candidates. Recruiters can change or delete these activities directly. The activity wizard also displays all activities that recruiters may also find useful to create.

    Recruiters can now use linked activities to send correspondence and questionnaires in one step. It is therefore no longer necessary to reference the corresponding activity types manually.

  • Candidate Profile

    In several processes, recruiters can click a candidate's name to call the candidate profile. The candidate profile provides recruiters with a structured overview of all information about a candidate. The candidate profile is a separate Web Dynpro application. Recruiters can print the candidate profile or save it as a file. A photo of the candidate can be included in the candidate profile of an internal candidate if the photo is stored in the connected HR system.

  • Search for Candidates or Requisitions

    • Enhancements of previous search functions

      The system automatically compares candidates who are assigned to a requisition against the criteria of a saved reference search query or the criteria from the requisition and then proposes a list of possible candidates.

      The recruiter can exclude candidates from the search. Excluded candidates no longer appear in the search hitlist for any future candidate searches that the recruiter performs: instead the excluded candidates are displayed in the Excluded Candidates list.

    • Quick Search

      In addition to enhancements of previous search functions, the quick search provides recruiters with an easy-to-use tool that supports them in searching for candidates, requisitions, and published job postings. When recruiters enter a user-defined text as a search criterion (for example, the name of a candidate, the title of a requisition, or the title of a published job posting), the search result displays the hits in a list. This list is structured according to candidates, requisitions, and publications so that recruiters can easily find the required information and jump directly to a candidate profile or to Requisition Management.

  • Manual Entry of Applications

    If Resume Parsing is being used, data from an external candidate's resume can be parsed and then used to prepopulate the fields of the application entry form. In this way, you can significantly simplify the data entry and reduce the number of potential errors.

    When entering internal applications, the fields are prepopulated once the personnel number is entered using the data from the connected HR system.

Recruiting Administrator Portal Role

The new Recruiting Administrator portal role (SAP_RCF_REC_ADMIN_ERC_CI_2) contains all relevant services and information that the administrator of SAP E-Recruiting needs to complete his or her tasks. The services for this role are based on Web Dynpro ABAP. Access to the services is supported in the standard system via a work center in SAP NetWeaver Portal.

The work center contains a personal worklist (POWL) for the administrator that contains a list of all requisitions to be deleted or to be reactivated and from which the administrator can perform the corresponding activities.

New Authorization Roles for SAP E-Recruiting

The new authorization roles for the recruiter, administrator, and data entry clerk contain the necessary authorizations that users require for calling the new Web Dynpro applications.

The following roles are delivered In the standard system:

  • Recruiter (SAP_RCF_RECRUITER_ERC_CI_2)

  • Recruiting Administrator (SAP_RCF_REC_ADMIN_ERC_CI_2)

  • Data Entry Clerk (SAP_RCF_DATA_TYPIST_ERC_CI_2)

Reporting (Operational Reporting) via a LaunchPad

SAP E-Recruiting uses the portal object Reporting-LaunchPad to display the reports on the recruiter's user interface. The system them displays in the personal worklist (POWL) some of the reports delivered in the standard system. The standard POWL functions make it very easy for recruiters to restrict the hit lists of the reports. Other queries delivered in the standard system are included in the portal as Business Explorer Queries (BEx Queries). In this way, you can use all default functions of BEx Query (such as sending e-mails).

ALE - Inbound Processing and Concurrent Employment

Once the business function is activated, the ALE inbound processing changes for data from a connected HR system. The ALE distribution is now based on the inbound processing of the HR master data with integration to the business partner.

The change of ALE inbound processing enables you to use SAP E-Recruiting when Concurrent Employment is active in a connected HR system. SAP E-Recruiting then behaves as follows:

  • If an employee has multiple work contracts in the HR system, then one Candidate (NA) object is created in SAP E-Recruiting with the assigned objects Central Person (CP) and Business Partner (BP). All work contracts are accessible via the candidate.

  • In the case of Concurrent Employment, an internal candidate is regarded as active if at least one of the candidate's work contracts is active.

To be able to use Concurrent Employment, SAP E-Recruiting requires a decoupled infotype framework in the underlying HR system.

Performance Improvement by Changing the Data Storage - Migration Reports for Existing Customers

When the business function is activated, SAP E-Recruiting saves certain data multiple times. This results in a significant improvement of the performance for read access. In particular, tables are displayed more quickly. Existing customers can use migration reports to store their old data in the additional structures and thus expedite the access to this data.

The data storage changes as follows:

  • The process assignment can now be determined directly based on the candidacy. To do this, the system saves the assignment in the infotype 5133 (Candidacy Information).

  • SAP E-Recruiting now saves the last changed activity multiple times. As a result, the performance improves when structuring the object lists for candidacies, applications, and candidates for which the system displays this information.

  • The system now saves the information multiple times as to which questionnaires are passed, failed, or not completed. As a result, the performance improves when structuring the object lists for candidacies and applications for which the system displays this information.

Functional Enhancements for Background Check and Resume Parsing

Background Check

The business function provides enhancements for Background Checks that facilitate the verification of candidate data.

  • You can now initiate background check orders for multiple candidates simultaneously. Each screening of an order now contains more detailed status information.

  • You can also initiate background check orders asynchronously, that is, the background check vendors do not need to respond immediately to the orders.

  • Vendors can now update the order status in SAP E-Recruiting themselves, without recruiters having to request the update.

  • You can initiate and monitor background checks in SAP E-Recruiting whenever convenient as background checks can be submitted in bulk to vendors at any time.

  • The system now prevents the submission of unwanted duplicate background check orders.

Resume Parsing

The business function provides enhancements for Resume Parsing to simplify the extraction, administration, and storage of candidate data.

  • Parsing is now supported for use by recruiters and candidates alike, meaning that recruiters, like candidates, can parse data from resumes and import this data into SAP E-Recruiting for subsequent processing.

  • SAP E-Recruiting can now process parsed resume data that is sent by third-party vendors in bulk.

  • When recruiters process potential candidates, they now have the option to accept or decline single or multiple candidates directly, without reviewing the corresponding data.

Enterprise SOA Services for Use with Recruitment Management

With this business function, you can use twenty new optional Enterprise SOA services in conjunction with Recruitment Management. Sixteen of these services enable the reading of data from SAP E-Recruiting for subsequent consumption. Four of the services enable updating of the data in SAP E-Recruiting. Users can use these services to submit queries and await responses, or submit requests and await confirmations. This is possible in the following six areas: applications, candidacies, candidacy master data, requisitions, recruitment activity models, and questionnaires for recruitment.
