 Generating and Printing Year-End Tax Forms

Use

Using the Year-End Reporting utility, your enterprise can generate T4, T4A, T4A-NR, Relevé 1 and Relevé 2 form data for all relevant employees, then print this data, for submission to the Canadian Customs and Revenue Agency or le Ministère du Revenu du Québec, on pre-printed forms or blank, 8.5" x 11" paper.

To file year-end data via Magnetic Media, you must execute the Year-End Reporting utility, then generate magnetic media for submission to tax authorities by means of the Magnetic Media Filing utility

Procedure

  1. Execute the Year End Reporting utility.

  2. Specify the personnel range for which you wish to execute the Year-End Reporting utility.

  3. Specify the tax year for which reporting is to be performed, and, if applicable, a tax reporting unit and run identifier. If you wish to produce year-end reporting data, choose the Forms processing radio button. If you wish to print year-end reporting data that has already been produced, choose the Forms printing radio button.

  4. Specify the appropriate run parameter – Production run , for original forms, or Amended run , for form amendments. If applicable, choose any of the following four checkboxes:

    1. Test run , to create test data only; this data will not be stored in cluster PCL4.

    2. Append results to existing run , if you wish to extend the reporting range of a prior run.

    3. Display output log , if the data produced is to be accompanied by a detailed output log.

    4. Display summary results only , if only a summary (e.g. totals by box) is to be produced.

  5. Specify the year-end form for which data is to be produced (or printed). You must process each year-end form in a separate processing run. For Quebec provincial year-end forms, specify the MRQ SAPscript and MRQ Magnetic Media numbers in the appropriate fields.

  6. If printing, specify whether original or duplicate forms are to be printed. If you wish to perform a test print run, select the corresponding checkbox. To print the remainder of unprinted employee copies from a prior test run – for example, if you experienced a paper jam in the middle of a print run – select Unprinted forms only (EE) .

    1. To print SAPscript tax form layouts and the corresponding year-end form data onto blank, 8.5" by 11" sheets of paper, select the SAP tax form layouts radio button.

    If you would like to print the information normally found on the reverse of pre-printed Year End tax forms, select the Print form reverse checkbox. Although double-sided printing is not supported, this information will be printed onto separate sheets of paper for subsequent distribution to employees.

    To fulfill legal requirements, you may either select this option to print a separate copy of the information along with every slip, or print a single copy of the information, then photocopy it for distribution to employees.

    b. To print Year End form data onto pre-printed tax forms, selected Pre-printed tax forms .

  7. Finally, specify the appropriate copy selection(s) to determine whether government, employer or employee copies are to be printed.

  8. Choose Execute .

Result

The selected year-end tax forms are printed for the tax year and employee range specified, and can now be submitted to federal or provincial tax authorities and distributed to employees.
