You can manage the individual numbers with the Individual Numbers JP (3386) infotype and check the numbers with the Individual Number Management (RPUINMJ0) report. Before that, you are required to define the relevant settings for individual numbers in Customizing for Personnel Management under Start of the navigation path Personnel Administration Next navigation step Personal Data Next navigation step Individual Number (Japan) End of the navigation path.

Process

You can proceed as follows:

  1. Define evidences

    You can select the defined evidence to confirm the individual number or the identity information in the Individual Numbers JP (3386) infotype.

  2. Define usages

    Usages determine where the authorized users can view or edit individual numbers without data masking. You can define usage details that represent individual use cases and then assign them to a usage. By doing so, a usage contains one or multiple use cases where the authorized users can view or edit individual numbers without data masking.

  3. Assign transaction codes to usage details

    You assign transaction codes to determine with which system transactions the individual numbers can be viewed or edited without data masking. For example, you assign the transaction code PA30 (Maintain HR Master Data) to the usage detail 00 (Master Maintenance). This means when an authorized user use the transaction code PA30 to maintain the individual number of an employee, the authorized user can view or edit the individual number without data masking.

    You can also define a retention period to the combination of transactions and usage details. Only within this period, can authorized users view and edit individual numbers without data masking. After that period, even with authorization, the users cannot view or edit the individual number without data masking.

    In this Customizing step, you can also define how the system applies data masking to the individual numbers. For example, if the data is masked by asterisks (*).

  4. Define settings for individual number checks

    You specify the following:

    • Default usages

    • Number application status

    • Administrator group to whom the system sends the notification

    • E-mail templates for the notification

    • Custom checks

      The Individual Number Management (RPUINMJ0) report uses these settings to check the status of the individual numbers and sends notification to administrators.

  5. Determine whether the legal reports display check errors related to individual numbers in the processing log.

  6. Determine whether the individual numbers or the identity information of employee spouses whose national pension status is 3-gou insured needs to be confirmed by the employer. If the employer has delegated the confirmation to the employees, the information is required to be confirmed by the employees. If not, the employer needs to confirm the information in the system.
