 Workset: Document Explorer

Use

The Business Package for DMS Connector for KM provides the document explorer workset (com.sap.pct.plm.dmsrmconnectorforkm.documentexplorer)

Integration

The back-end system is accessed when presenting the data in the iView of this workset. The following data for a document info record is transferred from the back-end system to the portal:

Document structuresthat are assigned to a document info record.

These document-based structures are depicted as folders in the portal.

Each document structure from the ERP system has its own folder in the portal.

If a document structure contains an item for which a document structure also exists, the folder at the navigation level below contains an additional folder.

Original application filesthat are assigned to a document info record.

These files are depicted as documents in the portal.

Only document info records to which at least one original application file has been assigned are evaluated for the portal.

You can only edit documents in the portal that are checked in to a storage system via Knowledge Provider (application component BC-SRV-KPR).

If several original application files are assigned to a single document info record, these documents are listed at the same navigation level.

The document info record data can be displayed in the SAP NetWeaver Portal as properties of a folder or document.

Features

The Document Explorer workset contains the iView: Document Explorer that refers to the layout set for the Knowledge Management user interface only.

The Document Explorer tab page provides portal users assigned to the document manager role with a central entry point for editing document-based structures and documents.

Displaying the Document Data

The document manager edits the document data in the portal on the Document Explorer tab page. The document-based structures and documents are arranged in three folders on this tab page. The following overview describes the content of the folders.

Document-based structures and documents are collected in this folder. The ERP system executes a search by defined selection variants and transfers the assigned document-based structures and documents from the document info records that are determined.

A separate folder exists for each selection variant. The document-based structures and documents that match the selection criteria of the current selection variant are displayed at the next lowest navigation level.

For example, you can specify certain conventions for the document data in a project and create a corresponding selection variant. The document-based structures and documents that were selected for a selection variant are displayed in the portal in the folder for this selection variant.

Publicdocuments

This folder contains document-based structures and documents that are accessible to all users.

The folder is depicted by a document structure in the ERP system. If you want the folder group to appear, you have to create this general document structure with the document number EDIPUBLICROOTFOLDER in the ERP system.

All document-based structures and documents that are displayed in this folder group exist in the ERP system as an item in this document structure or at a lower structure level.

Personaldocuments

This folder contains document-based structures and documents that are accessible to the current portal user only. If these document-based structures and documents are selected via a selection variant, they are also accessible to other users.

The folder is depicted by a document structure in the ERP system. If you want the folder group to appear, you have to create a document structure with a reference to the portal user (user name in the portal as the document number) in the ERP system.

All document-based structures and documents that are displayed in this folder group exist in the ERP system as an item in this document structure or at a lower structure level.

Processing Options

In the portal, you can navigate both in the folders and on the file server and access the resources (folders and documents) contained there.
