  Simple Correspondence

Definition

Activity category that classifies activities the succession planner uses to send letters to candidates.

The activities in the Simple Correspondence category do not refer to an activity in the Qualifying Event category or the Questionnaire category.

Use

Letter templates are assigned to the activities in the Simple Correspondence category. You can use the activities to create and send letters to the candidates. You must also customize the letter templates.

Structure

An activity in the Simple Correspondence category consists of the following tab pages:

  • Details

    The tab page includes the following information:

    • Status

    • Due on (if status: Planned )

    • Completed on (if status: Completed )

    • Completed by (if status: Completed )

    • Processor (not if status: Completed )

    • Changed On (only after the activity has been created)

    • Changed by (only after the activity has been created)

    • Letter Template

    • Depending on the Customizing settings (parameter RECFA INDCO, IMG activity Set System Parameters ) and the type of letter template used:

      • Letter changed (indicator)

      • Changeable section of letter template

        You can execute the following functions:

    • E-Mail

      You use this function to send a letter to the e-mail address that the candidate stored in his or her profile.

    • Print

      You use this function to print the letter via the SAP spool system .

    • Depending on the Customizing settings (parameter RECFA INDCO, IMG activity Set System Parameters ) and the type of letter template used:

      • Change Letter

        You use this function to open the letter in the Editor. You use this function to open the letter in the Editor. You can customize the letter.

      • Change Letter Section

        You can use this function to customize the changeable letter section that is displayed.

    • Display Letter

      You use this function to display the letter.

    • Reset Letter

      You use this function to undo the changes that you made to the letter using the Editor.

  • Notes

    On this tab page you can store notes for an activity.

    If the activity is used in TRM, then this information is available to you and all other succession planners. If the activity is used in Succession Planning, this information is available to you and the other members of the support team for the associated succession plan.

  • Attachments

    You can upload documents here.

    If the activity is used in TRM, then this information is available to you and all other succession planners. If the activity is used in Succession Planning, this information is available to you and the other members of the support team for the associated succession plan.

  • E-Mail Attachments

    This tab page enables you to upload documents that you want to send to candidates with the letter by e-mail.

Example

The standard system provides the following activity types of the Simple Correspondence category for Succession Planning:

  • Inform Employee

  • Letter to Manager for Development Planning
