 Delimit the End Date of Payroll-Relevant Infotype Records

Use

If you want to set the end date for a payroll-relevant infotype record when you are editing HR master data, the procedure is different to the procedure described for changing a data division or the record’s start date.

  • As well as using the Change function to change the end date of an infotype record, you can also use the Delete function to set a time limit for the record.

  • To delimit the infotype record, choose Delete for the required record. In the From field, enter the date as of which the valid infotype record should be deleted.

  • Infotype records with time constraint 1 (such as infotype 0008 Basic Pay ) cannot be deleted.

    If you still want to delimit an infotype record with time constraint 1, you can create a new record for the same infotype. This new infotype record merely serves to delimit the old one and the From field for this new record contains the date as of which the old infotype record is no longer to be valid.

Example

As of January 1, 2004 an employee, Marcus Adams, receives a special payment. This is stored in the Recurring Payments and Deductions infotype (0014). This payment is due to finish on March 1, 2004.

However, the last payroll run for Marcus Adams was performed on April 30, 2004. In this example, a retroactive accounting run must be performed for the employee for the period as of March 1, 2004. The retroactive accounting date is March 1, 2004.

To ensure this, you must delete the infotype record for the Recurring Payments/Deductions infotype that is valid as of March 1, 2004. To do this, choose the Delete function for the infotype record, and enter March 1, 2004 in the From field. Now delete the infotype record.
