 e-Filing for Great Britain (PA-PA-GB)

Purpose

The concept of e-Filing stems from various ‘e-Government’ initiatives instigated by the British Government. These initiatives have established the means for individuals and businesses to transact business with the Government over the Internet. As a registered user, you can submit pre-populated forms to the Government electronically via a new centralised Government Gateway. You are also able to retrieve certain official forms from this same gateway.

The e-Filing for Great Britain component enables you to submit and retrieve a specific selection of electronic forms to and from your SAP system and the various departments/agencies you deal with, via the Government Gateway.

The Gateway acts as a central point of co-ordination for these electronic transactions between businesses, individuals and the Government. The Gateway is an intelligent hub, with responsibility for verifying the integrity and validity of submitted transactions and for routing them on from the Gateway to the appropriate Government department. The Gateway is also the hub through which Government departments, for example the Inland Revenue, transmit electronic forms to organisations.

As a GB Payroll customer, for example, this means you can use the e-Filing for Great Britain component to electronically submit your statutory End-of-Year forms, such as the P14 and P35, to the Inland Revenue. You are also able to retrieve forms such as the P6 (Notice to Amend an Employee’s Tax Code) from the Government Gateway using this component.

Organisations with over 250 employees must file End-of-Year returns (P14 and P35) electronically, starting with tax year ending April 2005. Smaller employers – those with fewer than 50 employees - do not have to file online until tax year ending April 2010.

Implementation Considerations

e-Filing for Great Britain is available in the following SAP releases:

e-Filing Incoming : 46C, 4.70 and ERP 2004 and 2005

e-Filing Outgoing : All maintained SAP releases 31I and upwards (legal requirement)

Integration

The e-Filing component is integrated with a number of other SAP components.

Using this component as part of payroll processing, for example, you can electronically retrieve statutory forms necessary for updating your employees’ student loan and tax infotype data as part of the e-Filing Incoming functionality.

This component is also integrated with the End-of-Year (EOY) reporting functions available in the Payroll Great Britain component, allowing you to submit your EOY data electronically within e-Filing Outgoing functionality.

Features

The e-Filing for Great Britain component is divided into two distinct processes:

  • e-Filing Incoming
  • e-Filing Outgoing

e-Filing Incoming refers to the processing you perform to retrieve statutory forms from a Government Department or agency via the Government Gateway, store them in your SAP system and use the information located on these forms to update your employee’s infotype data.

e-Filing Outgoing refers to the processing you perform to submit statutory forms to the appropriate Government department or agency, from your SAP system, using the Government Gateway.

The Government Gateway uses the same principle to classify Government forms but reversed. Therefore, for the relevant Government department or agency, their Outgoing forms become your Incoming forms (being sent from the Government), and your Outgoing forms become their Incoming (being sent to the Government).
