 Time-Dependent Status for Results Analysis

Use

In results analysis and project-related incoming orders , the status of a WBS element has a controlling character for processing. The point in time when the status of an object is requested is not identical to the point in time when the status information should be evaluated.

The results analysis and project-related incoming orders are listed as a part of period-end closing, typically in a time frame of two to ten days after the end of the period taken into account. They should, however, interpret the status of an object at the time of the last day of the period taken into account, in order to correctly assign the values and events of the affected period.

In order to take the time dependency of a status into account, the system updates the date of the status change for the activated time-dependent status (FREI, TABG, ENFA) in a table. The status AKZP is an exception. In this case, the system does not update the data of the status change, but rather the date of receipt of the SD order. You can manually change the date of this update at any time and thereby stipulate when the status for results analysis and project-related incoming orders takes effect. The following system statuses typically used in results analysis are intended for time-dependent administration:

  • REL – Released (I0002)

  • TECO – Technically completed (I0045)

  • FNBL – Fully invoiced (I0097)

  • ACPT – Order accepted (I0460)

Furthermore it is possible to plan the date of a status change for the planned results analysis (transactions KKAJP, KKA2P).

Prerequisites

You must activate the function Time-Dependent Status for Results Analysis for each controlling area. Features

The following functions are available:

  • Check validity date for status (CJC1)

  • Plan status changes (CJC2)

Check validity date for status (CJC1)

You make the selection just as you do in the selection masks of the Project Information System. The system selects all WBS elements that fulfill the following criteria:

  • The WBS element fulfills the specified selection criteria on the initial screen.

  • You must have maintained a results analysis key for the WBS element.

  • You made one change to the status for at least one of the statuses mentioned above for the WBS element after activating the function Time-Dependent Status .

In the maintenance dialog the system displays the corresponding status with the current validity date for the WBS elements. The system displays the project definition and the person responsible for each WBS element as additional information and sorting criteria. You can change the validity date of the status change. When you confirm the changes the system deactivates the system default indicator, if necessary. The functions results analysis and project-related incoming orders take the affected status into account for the changed validity date and not for the date on which the status change was made.

Note Note

The system default indicator has the following meaning:

End of the note.
  • Indicator set: When the status was changed the system entered this date as the validity date.

  • Indicator not set: The validity date was changed in the dialog or already filled by the system with a date that does not match the current date.

Plan status changes (CJC2)

You can carry out results analysis as a results preview in the plan as well. In order to be able to compare planned values with actual values, you must provide status changes with planned dates. You can do this using the function Plan Status Changes (CJC2).

You make a selection in the same way you do when using the function Check Validity Date for Status (CJC1). If you already made changes to the status (actual status), which depend on time, then this status is displayed with the appropriate validity date. Furthermore, you can add new entries for planned, but not yet carried out status transitions. The input help for the WBS Element column displays the WBS elements that:

  • Fulfill the selection criteria specified on the initial screen

  • Have a results analysis key

The input help for the Status column offers only those statuses that can be administrated depending upon time.

Activities

To provide the status changes with a date, choose Logistics or Accounting and then Start of the navigation path Project System Next navigation step Financials Next navigation step Period-End Closing Next navigation step Single Functions Next navigation step Results Analysis Next navigation step Manual Entries Next navigation step Check Validity Date for Status End of the navigation path (CJC1).

To plan status changes, choose Logistics or Accounting and Start of the navigation path Project System Next navigation step Financials Next navigation step Planning Next navigation step Allocations Next navigation step Results Analysis Next navigation step Plan Status Changes End of the navigation path (CJC2).

Example

On January 3, you activated the status fully invoiced for a billing element. Results analysis is set so that inventory is canceled in this status. With out time-dependent administration of the status, canceling inventory would occur at the period-end closing for December, in the event that this occurs after January 3.

If the status is administrated actively depending upon time, results analysis for December is still based on the active status before the fully invoiced status was given. You can change the validity date for the status change using this function.
