  Candidate

Definition

Person who has registered in the Talent Warehouse and stored his or her data there. A candidate is usually interested in accepting a work relationship.

We distinguish between an internal and an external candidate.

An internal candidate is an employee of the company using SAP E-Recruiting for internal recruitment. In general, this candidate does not have to register his or her data. The candidate’s personal data is automatically transferred to the Talent Warehouse from the connected HR system.

An external candidate is a person registered in the Talent Warehouse who does not belong to the company implementing E-Recruiting.

The Talent Pool comprises all candidates whose data is stored in the Talent Warehouse.

Use

The system creates a candidate for the following processes:

  • A person registers his or her data in the Talent Warehouse.

  • A person applies electronically for a job posting.

  • A person submits an application on paper for a job posting. In this case, the person’s data and application are entered into the system using the manual application entry. A candidate is then created automatically.

  • If your scenario is not integrated (the ERP system and SAP E-Recruiting run on different systems):

    • Employees from the connected HR system are imported into the E-Recruiting system using ALE distribution (Application Link Enabling).

    • The administrator creates an internal user.

  • If your scenario is integrated (the ERP system and SAP E-Recruiting run on the same system):

    The system uses the implementation CONV_HR_DATA_TO_EREC (Conversion of employee’s HR data in SAP E-Recruiting) of the BAdI HRSYBC_P (Synchronize Employee by Business Partner) to create a candidate for each employee. In doing so, only the data from the following infotypes is transferred:

    • 0000 (Actions)

    • 0001 (Organizational Assignment)

    • 0002 (Personal Data)

    • 0006 (Addresses)

    • 0105 (Communication)

    • 1001 (Relationships) The relationship to the qualifications

The system saves the person’s personal data, capabilities, and wishes in infotypes that are assigned to the candidate.

The structure of the candidate contains the following data:

Personal Data

Data such as name, date of birth, and so on.

Note Note

Only external candidates can store this data. The data for the internal candidate is stored in the company’s HR system and is transferred from there into the internal candidate’s Personal Data. You cannot maintain the data using SAP E-Recruiting.

Data such as telephone number, address, e-mail.

Work Experience

Information about the candidate’s employment relationships to date.

Education and Training

Information about the education courses completed by the candidate to date.

Qualifications

Information about the candidate’s competencies and qualifications. The candidate rates each competence or qualification.

Note Note

In the integrated system, you cannot maintain the data using SAP E-Recruiting if the connected ERP system is defined as the leading system. For more information, see the Implementation Guide for SAP E-Recruiting in the documentation for the IMG activity Set System Parameters .

Attachments

Electronic documents stored in the system by the candidate to complete or support the information provided by the candidate.

Desired Job

The candidate can specify preferred conditions of employment. These determine whether a job posting can be shortlisted by the candidate or not.

Desired Work Location

Preferred locations stored by the candidate regarding the candidate's future employment location or branch.

Profile Release

The candidate is responsible for releasing his or her profile in accordance with the data privacy statement so that recruiters and managers can find the candidate when searching the Talent Pool.

Application

A candidate can be linked with several applications.

Candidacy

The Candidate object can be linked with several Candidacy objects. If a candidate is assigned to a requisition, the system creates a candidacy . This is the case if a candidate submits an application or if the candidate is found in the Talent Pool and then assigned to a requisition.

Business Partner

A candidate is linked with a business partner. Some of the candidate’s data, such as the name, is stored in SAP Business Partner .

Talent Group

A candidate can be assigned to one or more talent groups, or to none at all.
