 Generating ROE Form Data

Prerequisites

You have performed the necessary Customizing activities described under Configuration for ROE Reporting .

Procedure

  1. Execute the Record of Employment (ROE) Workbench. To this end:

    1. Select the following menu path from the main Payroll Canada menu:

    3. Alternatively, execute ROE Workbench transaction HRPAYCA_ROEWB .

      On the subsequent screen, the initial screen of the ROE Workbench is displayed.

  2. Within the New tabstrip, choose Generate ROE Run to proceed to the Record of Employment (ROE) Generator.

  3. On the subsequent screen, perform the following actions.

    1. Specify the personnel number (or range of personnel numbers) for the employee(s) requiring an ROE.

      Alternatively, you may also elect to leave the Personnel number field blank. This action instructs the ROE Generator to scan the master data of all employees and identify employees for whom an interruption of earnings has occurred, but for whom no ROE has been issued.

    2. Specify the desired ROE run date and processing type ( New ROE or Amended ROE ) and whether you wish to perform a Test run .

      The default ROE run date is today’s date.

      The default processing type is New ROE ; only select Amended ROE if you intend to amend an actual ROE form that you have printed, as described under the topic Producing Amended ROE Forms .

      The Test run indicator is active by default; until you de-select this indicator, the system will not generate active ROE form data.

      In most cases, these first two actions suffice to generate ROE form data, provided that you have completed all prerequisite configuration steps. For example, the ROE Generator automatically determines the ROE reason code, based on the type of earnings interruptions you have configured in Customizing for Payroll Canada (PY-CA) for actions types or absence/attendance types.

      Nonetheless, cases exist where automatic generation of ROE form data is not possible – for example, when an ROE is requested by HRSDC and must be issued without an actual interruption of earnings. In such cases, you can force the system to generate ROE form data by maintaining the ROE data overrides described below, in steps c. through j.

    3. Under Interruption of Earnings , specify the appropriate ROE reason code , the First day worked and the Last day for which paid . No default entries are provided in this section.

    4. Under Block 14 , choose the appropriate radio button.

      If necessary, specify a date of recall in the corresponding field.

      The default selection is Unknown .

    5. Under Block 16 , choose the appropriate radio button.

      If necessary, specify the name and telephone number of a contact person in the corresponding fields.

      The default selection is Payroll .

    6. Under Block 17 , specify the wage type application that the system will employ to generate other payments or benefits as part of ROE form data. By default, the system employs the wage type application R17 , the standard wage type application delivered for this purpose.

    7. Under Block 18 , specify ROE Notifications or General comments , as required. By default, the option General comments is active.

      Employee-specific ROE comments maintained within the Notifications infotype (0128) can be extracted and saved as part of ROE form data. To enable this function, select the ROE Notifications radio button, then specify a subtype within the field provided.

    8. Under Block 19 , specify the Payment start date , Amount , and whether the amount is to be paid Per day (the default selection) or Per week .

    9. Under Block 20 , specify the preferred communication language of the person responsible for issuing the ROE form. Subsequent communication and correspondence takes place in the language specified here.

    10. Under Block 21 , specify the appropriate issuer information: Payroll (by default), HR , or Other .

    11. Finally, under Application Log Options , you may instruct the ROE Generator to Show all personnel numbers who have been selected for ROE consideration, regardless of whether an interruption of earnings has occurred. By default, the standard system only selects those employees for whom an interruption of earnings has occurred, but for whom no ROE has been issued.

      The ROE Generator features a comprehensive application log in ABAP List Viewer (ALV) format. This format allows you to modify the appearance of the application log and to download its output to other software applications. These features allow application log output to be processed further; they also facilitate the reporting requirements of your enterprise. If you wish to apply a previously saved ALV output variant to the ROE form data to be generated, then specify it in the Display variant field.

  4. Choose Execute to complete the process of generating ROE form data.

Result

On the subsequent screen, the system displays the results of ROE form data generation in the ROE Generator Application Log . For every set of ROE form data generated, this log summarizes the corresponding personnel number , first day worked and last day for which paid , along with an evaluation run ID and one of three icons to indicate whether the corresponding run was processed

  • … successfully ,

  • … with warnings , or

  • … with errors .

Now that you have generated ROE form data, note the evaluation run ID indicated on the ROE Generator Application Log, then return to the ROE Workbench.

From the ROE Workbench, you may process the data you have generated in one of three ways – either by Printing ROE Forms Automatically , by Printing ROE Forms Manually , or by Voiding ROE Form Data .
