 Working with Sales Order Versions

Use

When a customer requests a change to a sales order, you are not always in a position to decide immediately whether the requested change is feasible. For instance, the production process for the product the customer has ordered may have reached a stage at which it is no longer possible to change the sales order. The change should therefore only be made after consultation with production. To ensure that the change to the sales order has no immediate effect on material requirements planning (MRP), you can record the change first of all in a sales order version.

Integration

Technically, the versions are sales order items that are copied and saved in separate documents, called version documents. If a sales order item has several versions, each version has its own version document.

Only the items of the sales orders are relevant. You cannot view the version documents outside version management; they are simply used to store data. There are no search functions for copy documents. You can only display them in the relevant sales documents, by choosing Start of the navigation path Edit Next navigation step Additional Functions Next navigation step Version Data Next navigation step Overview End of the navigation path ( see also: Working with Version Data ).

The data exchanged between items or versions isvirtually the same for creating and changing.

The following data is currently preconfigured:

  • Quantity-based and weight-based item data (schedule lines)

  • Configuration data

In the version document, almost all check and search functions are either deactivated or irrelevant. The configuration functions work in the usual way.

Prerequisites

To use the sales order version functions, you must do the following in Customizing:

  • Maintain the order type to be used for versions

  • Maintaining the number range for version documents

The following parameter settings are optional:

  • Delete the changeable version after it is copied back to the original

  • Snapshot before overwriting the original item

  • Managing the transfer of version data using the object status of the order item

If you want the system to create a copy automatically (if a production order already exists, for instance), you need to go to the screen for maintaining user-definable system messages for the automatic creation of copies, and define the required message types.

The following functions are available:

  • Creating a version of a sales order item

  • Changing the version

  • Accepting the version as the current sales order item

  • Comparing versions with each other, and comparing a version with a sales order item

Activities

You can transfer some of the data in a sales order item either to a new version or to an existing version that is linked to the item. You can transfer some of the data in a version either to other linked version or to the sales order item.

Linked versions belong to the same sales order item.
