When you process a maintenance order, you can create, display, and assign related documents. If you assign documents to a maintenance order at header or operation level, the system displays these assignments as object links in the respective document info records as well.

Prerequisites

You define which document types you can assign at header level and operation level in Customizing for Cross-Application Components under Start of the navigation path Document Management Next navigation step Control Data Next navigation step Define Document Types End of the navigation path. You can only create and assign documents in maintenance orders if you have made the appropriate Customizing settings for their document types:

  • To be able to create documents in a maintenance order, you must go to the detail view for Define object links and in the Create Document field enter 1 (Create simple document) or 2 (Use transaction to create document).

  • To be able to assign documents at order level or operation level, you must allow each document type to be assigned to the objects PMAUFK (Maint. Order) or PMAFVC (Maint. Operation).

Features

In the transactions for creating, changing, and displaying plant maintenance orders, the group box Document Assignments is available on the Additional data tab. You can use layouts to specify which information from the document info record you want the system to display as columns. The system lists all the assigned documents and allows you to do the following:

  • You can select a document info record and go to the display view.

  • By choosing Create and Assign New Document (Create and Assign New Document), you can create new documents and assign them in the maintenance order. You can also assign existing documents to the order by choosing Assign Existing Document (Assign Existing Document).

    The system assigns the documents to the maintenance order at header level automatically. If you want to assign some documents at operation level, select the relevant documents in the list and choose Assign Document to Operation (Assign Document to Operation). Select the operations that you want the system to assign the documents to and confirm. The system removes the assignment at header level and assigns the selected documents to the operations you chose.

  • If you have assigned reference objects (pieces of equipment, functional locations, assemblies) or maintenance notifications to the maintenance order, you can display the documents that belong to these dependent objects by choosing Show Document of Dependent Object (Show Document of Dependent Object).

    Documents that have already been assigned to a piece of equipment, for example, can also be assigned at order level or operation level. To do so, select the relevant documents and choose Assign Document to Order (Assign Document to Order) or Assign Document to Operation (Assign Document to Operation). The system creates additional assignments without removing the assignments to the dependent objects.

  • You can remove the assignment of documents at order level or operation level, but you cannot delete any document info records.

    • If you choose Remove Assignment to Operation (Remove Assignment to Operation), the system removes the assignment to the relevant operation. Once the last assignment of a document at operation level has been removed, the system assigns the document to the maintenance order at header level.

    • If you select a document and choose Delete Document Assignment (Delete Document Assignment), the system removes the document assignment at header level or operation level immediately.

  • The system shows the technical name of the document's original file in the column File Name. If you store original files on a central document server, you can access them from the maintenance order.

  • In the list, you can search for documents, define and manage filters, and sort documents.

Additional functions, such as valuating and classifying links between objects and documents, are not supported in plant maintenance orders.

In the document info records on the Object Links tab page, you can display the related document assignments that you created in the maintenance order. You can also edit object links at order level in the corresponding document info records.

Authorizations

You can only access the document assignments in the maintenance order if you have been assigned the following authorization objects of the document management system:

  • To display assigned documents, you must have the following authorization objects:

    • S_TCODE

  • To be able to create and assign documents or change assignments, you must additionally have the following authorization objects:

The change log of the maintenance order does not record when documents are assigned or when assignments are removed. You can use authorization object C_DRAD_OBJ to specify that only certain users should have the authorization to delete document assignments. Users can only delete document assignments if the activity 06 (Delete) has been assigned to them.
